Overview

We are seeking a dynamic and highly organized Experienced Office Manager to lead our administrative operations and ensure the smooth functioning of our office environment. This role is vital in coordinating daily activities, managing administrative staff, overseeing vendor relationships, and supporting overall office efficiency. The ideal candidate will have experience in Quickbooks.

Relocation Assistance is available for qualified candidates.

Hourly/Salary pay is negotiable based on experience.

Responsibilities

  • Oversee payroll, receipt tracking, invoicing, quarterly reports.
  • Coordinate event planning for meetings, company functions, and community outreach initiatives to promote engagement and professional development.
  • Manage vendor relationships, including negotiating contracts, overseeing service delivery, and ensuring cost\-effective solutions for office supplies and services.
  • Handle bookkeeping and basic accounting tasks using QuickBooks or similar software to support budgeting, invoicing, and expense tracking.
  • Oversee human resources functions such as onboarding new employees, maintaining personnel records, managing payroll processes, and ensuring compliance with employment laws.
  • Maintain organized filing systems—both digital and physical—and ensure confidentiality of sensitive information.
  • Support medical office management if applicable by coordinating patient appointments, managing medical records, and ensuring compliance with healthcare regulations.
  • Assist with budgeting activities by monitoring expenses and preparing reports to support financial planning.
  • Promote effective communication across departments through clear documentation, email correspondence, and team meetings.
  • Requirements

  • Proven experience in office management or administrative leadership roles with supervising experience preferred.
  • Strong organizational skills with the ability to manage multiple priorities efficiently.
  • Excellent communication skills—both verbal and written—with professional phone etiquette.
  • Proficiency in QuickBooks for bookkeeping and payroll processing; familiarity with other office management software is a plus.
  • Experience in event planning, vendor management, and calendar scheduling.
  • Knowledge of human resources practices including onboarding, training \& development, and employee relations.
  • Demonstrated ability to handle clerical tasks such as filing, data entry, and front desk operations effectively.
  • Previous experience in medical office management or healthcare settings is advantageous but not required.
  • Ability to adapt quickly to changing priorities while maintaining attention to detail in a fast\-paced environment.
