Title: Administrative Assistant\- Finance and Broadband
Position Summary:
Reporting to the VP of Financial Services/CFO, the Administrative Assistant provides high\-level administrative, analytical, and technical support to finance and broadband departments. This role ensures efficient coordination of executive activities, meeting preparation, departmental reporting, and other operational responsibilities. The Administrative Assistant plays a key role in supporting organizational effectiveness, maintaining accurate records, and safeguarding confidential information.
Responsibilities and Essential Functions:
- Provide high\-level administrative, analytical, technical, and organizational support to the VP of Financial Services/CFO, Chief Broadband Officer, Power Resources and the NHEC Foundation to ensure efficient operations and timely completion of executive priorities. This role has a dotted\-line reporting relationship to the Chief Broadband Officer.
- Coordinate and schedule board committee, departmental, and employee meetings—including Broadband, Budget, Finance \& Rates, Audit, and other assigned groups.
- Prepare meeting agendas, supporting materials, and presentations; record, transcribe, and distribute accurate and timely meeting minutes.
- Manage calendars for both executives, coordinate meetings, monitor deadlines, and ensure follow\-through on assigned tasks and deliverables.
- Develop and maintain a well\-organized digital and physical filing system for relevant corporate documents to ensure compliance and accessibility.
- Arrange logistics for both in\-person and remote meetings, including room setup, technology needs, invitations, and catering when required.
- Assist with travel coordination, including booking arrangements and compiling travel and business expense documentation for reimbursement.
- Initiate and process purchase requisitions for the Finance, Broadband, and Power Resources Departments.
- Provides accounting, reporting, and administrative support to the NHEC Foundation, including processing of grant applications and commitments, preparing financial reports on a monthly or quarterly basis, and preparing minutes of board meetings.
- Support annual budget development for both departments and monitor expenditures throughout the year, identifying and documenting variances.
- Coordinate the preparation and filing of monthly, quarterly, and year\-end departmental and regulatory reports.
- Maintain the security of sensitive and confidential information related to member communications, personnel matters, and business strategies with discretion and sound judgment; demonstrate strong attention to detail with consistent follow\-through.
- Assist executive leadership in reviewing, investigating, and resolving member concerns to help ensure high\-quality member service and satisfaction.
- Support other NHEC administrative staff to ensure organizational deadlines and deliverables are met.
- Develop and maintain a working knowledge of PUC rules and regulations, as well as NHEC policies and procedures, and apply them appropriately when preparing documents, supporting departmental work, and ensuring compliance across assigned tasks.
- High school diploma or equivalent required.
- Two years of college with an associate degree in business related field in Administrative Assistance, or Executive Assistance required or 2 years equivalent experience, in lieu of degree.
- Demonstrated expertise in professional minute taking, including accuracy, clarity, and timely distribution.
- Experience supporting management with departmental studies, process improvements, or efficiency initiatives.
- Strong interpersonal skills and a professional, service\-oriented approach when interacting with members, visitors, management, and staff.
- Ability to manage multiple priorities, adapt to changing needs, and meet deadlines.
- Skill in drafting and editing clear, professional correspondence.
- Strong organizational abilities, including maintaining effective digital and physical filing systems.
- Proficiency in Microsoft Office 365, including Word, Excel, and PowerPoint.
- Comfortable using modern office technologies, collaboration tools, and cloud\-based platforms.
- Excellent written and verbal communication skills.
- Courses in accounting, project management, organizational development, and communications, business, or related field desired.
- Experience working in an electric utility or other regulated industry, with familiarity in member/customer service, compliance, and operational processes.
- Familiarity with financial terminology.
- Proficiency with Microsoft Visio for creating process flows and visual documentation.
- Experience supporting financial, regulatory, or member‑service functions.
- Familiarity with organizational policies, procedures, and compliance frameworks, including PUC rules.

* Emergency Restoration
+ Assistance with restoration efforts is required of all employees.
+ Employees will be assigned functions to support storm restoration and for some employees that may be different from their normal duties.
+ Such assistance may require working nights, weekends and holidays which may involve considerable extra hours.
+ In order to meet this working condition, all employees are required to provide a personal phone number where they may be reached after hours. This number will only be used for internal purposes.

Working Conditions:
Normal office conditions, occasional overtime may be required. Positions eligible for a hybrid work schedule will be dependent upon management approval \& workload, however on\-site office work in the Plymouth, NH area will be required.
Will be required to work long hours on occasions, especially during major system outages. Limited travel required in the performance of work responsibilities and representing NHEC at various professional and association meetings.

The targeted salary range for this non\-exempt position is $33\.75 \- $38\.00 with anticipated pay for new hires between the entry and midpoint of this range and could vary above or below the listed range. Pay is based on non\-discriminatory factors including but not limited to work experience, education, licensure requirements, proficiency and qualifications required for the role. The base pay is just one component of NHEC's total compensation package for employees.
