FirstLight Home Care is seeking a detail\-oriented and organized entry level Scheduler / Administrative Assistant to manage client and caregiver schedules while providing professional front\-office support. This role serves as a key point of contact for clients, staff, and visitors, ensuring smooth daily operations and excellent customer service.
Key Responsibilities
- Coordinate and maintain client and caregiver schedules to ensure proper coverage
- Answer incoming calls, greet visitors, and direct inquiries appropriately
- Respond to referrals
- Handle after\-hours and weekend emergency calls as scheduled
- Communicate daily schedule changes with caregivers and clients
- Maintain accurate staff and client records in scheduling and database systems
- Monitor staffing levels and generate scheduling and retention reports
- Perform general administrative duties (filing, data entry, mail distribution, document preparation, etc.)
- Ensure HIPAA compliance and uphold company policies and procedures
- Support continuous quality improvement initiatives
- Stay current with agency technology and software systems
- High school diploma or GED required
- 1–2 years of administrative experience required
- Minimum 1 year of scheduling experience preferred
- Proficiency in Microsoft Office or Google Workspace and scheduling software
- Working knowledge of basic medical terminology
- Strong communication, organization, and problem\-solving skills
- Ability to prioritize tasks and escalate urgent situations appropriately
- Valid driver’s license and current auto insurance

Work Environment
Primarily an office\-based role with frequent phone and computer use. Occasional lifting (up to 15 lbs) may be required. Must be comfortable working in a healthcare environment and maintaining confidentiality at all times.
