Responsibilities
- Answer phones efficiently, directing calls accurately and courteously while maintaining excellent phone etiquette.
- Perform data entry, maintain filing systems, and ensure all documents are accurate through proofreading and meticulous record\-keeping.
- Handle incoming correspondence, emails, and inquiries with promptness and professionalism to support customer service excellence.
- Support office management duties such as organizing files for easy access.
- Attend weekly staff meetings and report any scheduling conflicts
- Update client schedules
- Enter new referrals
- Assists in coordination services and verifies hours entered correctly using the EMR database.
- Conduct quality assurance calls with clients and employees.
- Oversee and ensure that caregivers are clocking in/out of shifts in a timely manner.
- Follow up with clients for any call\-offs
- Data entry
- Report all schedule changes to the proper department
- Perform other duties assigned by the owner and director of home care
- This job is hybrid. You will be required to work in office 1\-2 times a week, located in Hesperia.
- Proven experience in office administration or clerical roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook.
- Excellent computer literacy with the ability to adapt to new software quickly.
- Strong typing skills combined with attention to detail for proofreading documents and data entry tasks.
- Experience in customer support or customer service roles with exceptional phone etiquette.
- Knowledge of office management practices, including filing systems, calendar management, and time management techniques.
- Bilingual\- Must be fluent in Spanish
