Overview
We are seeking a dynamic and highly organized Executive Assistant/Office Manager to join our team in the financial planning business! This vital role combines high\-level administrative support with comprehensive office management, ensuring smooth daily operations and seamless executive assistance. Duties
- No Sales
- Provide comprehensive administrative support to executives, including calendar management, email correspondence, and meeting coordination using tools like Microsoft Outlook Calendar and some in hour proprietary doc imaging systems.
- Manage office record keeping, proposal generation and account application processes through docusign and custodial systems.
- Plan and execute company seminar events with venues, cordinate and schedule client meetings, handling logistics such as venue booking, catering arrangements, and materials preparation.
- Serve as the front desk ambassador by greeting visitors, managing multi\-line phone systems with excellent phone etiquette, and directing inquiries professionally.
- Support project coordination efforts by tracking deadlines, preparing reports, proofreading documents for accuracy, and assisting with transcription tasks.
- Manage confidential information with discretion while supporting personal assistant duties such as travel arrangements and personal scheduling for executives.
- Proven experience in office management or executive administrative support; prior personal assistant experience is highly desirable.
- Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Google and familiarity with DocuSign for document signing workflows.
- Excellent organizational skills with the ability to multitask effectively in a fast\-paced environment; experience with data entry and filing systems is essential.
- Demonstrated ability to handle clerical tasks such as proofreading, transcription, and maintaining accurate records.
- Exceptional communication skills with professional phone etiquette and customer service orientation.
- Ability to adapt quickly to new technologies and software; strong computer literacy is required.
