Summary:
The Executive Assistant works directly with the President and CEO in a supportive role. Responsibilities include scheduling meetings with key stakeholders, anticipating needs and responding proactively, as well as organizing, prioritizing, and managing the varying needs of ITVS’s President, executive team, and board of directors.

Specific Duties
- Manage the President’s calendar, including contacting internal and external partners to coordinate meetings, organizing conference calls, scheduling business appointments, and keeping the President well\-informed about upcoming dates, deadlines, and conflicting priorities.
- Provide excellent and expeditious customer service on the President's behalf, to senior management, staff, media partners, funders, and other key external stakeholders.
- Organize domestic travel, including arranging point\-to\-point transportation, booking hotel accommodations, researching meeting sites, and coordinating related activities as needed.
- Provide administrative support for a wide range of special projects, including developing reports, drafting correspondence, organizing funder and board presentations, and supporting any outside consultants working with the President and board, as needed.
- Provide logistical support for meetings with key stakeholders, including arranging catering along with setting up and breaking down the meeting.
- Coordinate ITVS board meetings (3\-4 annually), such as organizing travel and hotel accommodations for board members, planning meals and board\-staff mixers, and processing board expense reimbursements.
- Assemble and copy edit materials required for each board meeting by gathering data, presentations, and reports, and tracking the progress of submitted materials.
- Coordinate board committee meetings, taking notes as needed and conducting research when necessary.
- Serve as the point person for all board inquiries and requests.
- Foster and cultivate a culture of care and a high commitment to quality informed by ITVS values.
- Contribute to culture by proactively participating in organization programs and staff events.

- Required: Minimum five (5\) years of administrative support experience
- Required: Bachelor's degree or equivalent years of work experience
- Required: Proficient in Google Suites, Microsoft Word, PowerPoint, and Excel
- Preferred: Minimum 2 (two) years of administrative support experience at the C\-level within a non\-profit organization
- Preferred: Experience with Creative Suite, FileMaker Pro, and InDesign

Compensation
ITVS is a financial steward of public funds and committed to pay transparency, as well as providing equitable and competitive compensation for staff. For this role the pay range is $83,160\.00 \- 73,920\.00 and the base pay will begin at $73,920\.00\. This is an exempt position that pays an annual salary and includes a robust benefits package. Advancement in the pay range is dependent on advancement in the role.
Hybrid Work
Creativity, collaboration and building community are essential to ITVS’ long\-term health and sustainability. Our goal is to provide a flexible hybrid model of in\-person and remote work that supports individual productivity, teamwork, and an organizational culture fueled in part by being present with one another. To achieve this goal, in\-office attendance, employees are required to work in our San Francisco office at least two (2\) days a week, including an all\-staff in\-office day on Thursdays.
