Job Description
Under general supervision and according to established policies, procedures and in compliance with federal and state laws, performs applicant screening, and employment\-related processes. Interviews and assess qualifications of applicants and refers qualified candidates to user departments. Administrative responsibilities to maintain confidential records associated with the employment process. Conducts pre\-employment computer testing on selected applicants. Meets with new hires and finalizes new employee paperwork as part of the Onboarding process.
KEY RESPONSIBILITIES:
+ Initiate employment process upon receipt of notification of approved Requisition in Recruitment Management System (RMS)
+ Develop rapport with Directors, Personnel Officers, Managers and Supervisors by assisting with questions regarding Employment guidelines and coaching with use of RMS
+ Establish applicant pool and forwards qualified/screened applicants to hiring managers
+ Follow all processes related to the employment process and required documentation
+ Attend and conducts recruitment events; provide information regarding employment at UAHSF including information concerning benefits, working hours and conditions, promotional opportunities, pay levels, etc.; solicit interest in UAB Medicine as a prospective employer
+ Advertise vacant positions in appropriate publications when necessary
+ Counsel employees seeking transfers
+ Follow the guidelines of the applicant screening process
+ Conduct screening process on candidates placed in the RMS Screening Folder by recruiters, using Telephone Interview Guide when necessary, (provided by Employment Manager) to identify qualified candidates for testing/personal interview
+ Conduct personal interviews using Interview Guide (provided by Employment Manager)
+ Follow all processes related to the employment process and required documentation
+ Disposition all qualified candidates into RMS Recruiter Review for review and placement by the Recruiter into RMS Hiring Manager Folders
+ Assist applicants with on\-line application and questions as needed
+ Schedules New Hires for new hire meeting and Employee Health visit
+ Meets with hires to complete necessary paperwork in the Onboarding process
+ Assists new hires as needed with onboarding questions such as resetting passwords
+ Review applications according to job description requirements
+ According to interview guides, conduct phone interviews with prospective candidates
+ Input relevant interview note information in RMS and maintains appropriate records
+ Source passive employment candidates
+ Submit postings for job vacancies, including Alabama Job Link site
+ Enter the background check results
+ Enter results for the TB and drug screen into RMS following receipt of clearance by Employee Health
+ Scan interview notes into RMS
+ Answer questions concerning departmental issues from visitors or telephone calls when appropriate
+ Contact candidates placed in the RMS Screening Folder by recruiters for required testing.
+ Send electronic testing link based on job description requirements
+ Monitor computer set\-up for testing in applicant room when applicable
+ Give clear and concise instructions for testing
+ Review testing scores with applicants
+ Scan all applicant testing documents into pdf file and attaches them in RMS immediately following testing
+ Maintain employment supplies, equipment and forms inventory; process invoices for payment
+ Assist with making ID badges for new hires and other employees as needed
+ Administrative tasks as delegated by Recruiter(s) or Manager
+ Maintain I\-9 files. Reviews forms are complete and accurate for audit purposes
+ Submit competency related documents to Imaging
+ Ensure employee number and Blazer ID is entered to hired file in RMS requisition
Qualifications
Position requires a High School Diploma and two (2\) years of experience in employment/recruitment including experience in interviewing/screening applicants. Bachelor's Degree preferred. Excellent verbal/written communication skills, sound judgment and exceptional listening skills required. Must be able to accurately assess issues and determine appropriate next steps. Must be proficient in Microsoft Office Suite, email, and internet applications.
Must be self\-directed / self\-motivated; must have good communication and interpersonal skills.
