Position Summary
The Back Office Medical Assistant supports providers and clinical operations across A to Z Dermatology. This role assists in general dermatology, surgical, and cosmetic services and is expected to provide support at their home location and travel to other A to Z Dermatology clinics as needed to meet operational demands. The Medical Assistant must be adaptable, dependable, and able to transition seamlessly between locations, providers, and service lines.
Essential Duties \& Responsibilities
Clinical Support – General Dermatology
· Room patients, obtain vital signs, and document patient history in the EMR
· Prepare exam rooms and assist providers during patient visits
· Perform scribing as directed by provider
· Assist with biopsies, cryotherapy, injections, and minor procedures
· Provide patient education, wound care instructions, and post\-visit guidance
Surgical Support
· Prepare patients and rooms for surgical procedures (including excisions and Mohs surgery as applicable)
· Maintain sterile field and assist with surgical instrumentation
· Assist with suturing, dressing application, and post\-operative care
· Clean, disinfect, and turnover rooms according to protocol
· Ensure proper labeling, handling, and transport of specimens
Cosmetic Support
· Prepare rooms and patients for cosmetic treatments and procedures
· Assist providers with cosmetic services (e.g., injectable, lasers, aesthetic treatments as applicable)
· Educate patients on pre\- and post\-procedure care instructions
· Maintain inventory and organization of cosmetic supplies and products
Task Management, Communication \& Accountability
· Monitor, manage, and complete assigned tasks, action items, and to\-do’s as directed by Site Manager and leadership
· Review and respond to company email and Microsoft Teams messages in a timely and professional manner
· Utilize internal systems, task lists, and workflows to ensure responsibilities are completed accurately and on time
· Follow up on outstanding items, requests, and assignments to ensure closure and resolution
· Communicate barriers, delays, or concerns to the Site Manager or leadership promptly
· Maintain accountability for daily responsibilities and assigned projects
· Actively monitor company communication platforms including email and Microsoft Teams throughout the workday
· Respond professionally and timely to internal communications from leadership, providers, and team members
· Participate in team communications, updates, and operational directives as assigned
· Maintain clear, respectful, and professional communication at all times
Multi\-Location Support \& Flexibility
· Provide clinical support at assigned home location and other A to Z Dermatology locations as directed
· Travel between clinic locations based on scheduling, staffing, and operational needs
· Adapt quickly to different teams, workflows, providers, and patient volumes
· Maintain professionalism, reliability, and consistency when supporting multiple locations
Patient Experience
· Provide compassionate, respectful, and professional care to all patients
· Ensure patients feel informed, comfortable, and supported throughout their visit
· Address patient questions and concerns appropriately and escalate when needed
Compliance \& Safety
· Adhere to all HIPAA, OSHA, CLIA, and infection control standards
· Follow blood borne pathogen protocols and universal precautions
· Maintain required competencies, trainings, and certifications
· Participate in audits, inspections, and quality initiatives as needed
Inventory \& Room Management
· Stock exam rooms and surgical trays daily
· Monitor and report low inventory or supply needs
· Ensure rooms are clean, organized, and patient\-ready at all times
Qualifications
Required
· High school diploma or equivalent
· Completion of an accredited Medical Assistant program or equivalent experience
· Current CPR/BLS certification
· Strong clinical skills and ability to assist in procedures
· Excellent communication and interpersonal skills
· Ability and willingness to travel between clinic locations as directed
Preferred
· Dermatology experience
· Surgical and/or cosmetic experience
· Experience in a high\-volume or multi\-site practice
· EMR experience (Mod MEd or similar systems preferred)
