The Executive Assistant to the President provides high\-level administrative and strategic support to the President of Wesley Theological Seminary. This position serves as a key partner in managing the President’s schedule, communications, and priorities while ensuring the smooth coordination of presidential initiatives and institutional activities.
The Executive Assistant must exercise sound judgment, discretion, and professionalism while handling confidential information and interacting with senior leadership, trustees, faculty, staff, students, and external partners. The ideal candidate is highly organized, detail\-oriented, and able to manage multiple priorities in a dynamic and mission\-driven environment.
Key Responsibilities
Executive Support
- Manage and maintain the President’s complex calendar, including scheduling meetings, travel, and institutional events
- Coordinate logistics for internal and external meetings involving the President
- Prepare briefing materials, agendas, and background documents for meetings and presentations
- Draft and edit correspondence, emails, reports, and other communications on behalf of the President
- Track follow\-up items and ensure timely completion of tasks and commitments
- Assist with preparation and coordination of Board of Trustees meetings and related materials
- Support communication between the President’s Office and senior leadership
- Coordinate executive meetings, retreats, and leadership initiatives
- Manage incoming requests, correspondence, and inquiries directed to the President’s Office
- Maintain confidential records and sensitive institutional information
- Assist with preparation of reports, presentations, and institutional documents
- Oversee administrative processes within the President’s Office
- Assist with planning and coordinating presidential events, donor meetings, and institutional gatherings
- Support major institutional initiatives led by the President
- Represent the President’s Office professionally in interactions across the seminary community
- Bachelor’s degree or equivalent professional experience
- 5\+ years of executive administrative support experience, preferably supporting senior leadership
- Exceptional organizational, communication, and time\-management skills
- Demonstrated ability to manage confidential information with discretion
- Strong writing and editing skills
- Proficiency with Microsoft Office or similar productivity tools
- Experience in higher education, nonprofit, or faith\-based organizations
- Experience supporting board governance or executive leadership teams
- Strong attention to detail and ability to manage multiple priorities
