Position Overview
We are seeking a world\-class Executive Assistant (EA) to serve as the primary strategic partner to a high\-performance entrepreneur and content creator. This is not a traditional administrative role; it is a high\-leverage position designed for a proactive "gatekeeper" who thrives in a fast\-paced environment involving digital media, health\-tech innovation, and high\-level networking.
The ideal candidate possesses the "sixth sense" for anticipating needs, impeccable discretion, and the technical fluency to manage a complex digital ecosystem. You will be responsible for ensuring the Principal is focused solely on high\-value execution by handling the logistics of their professional and personal life.
Key Responsibilities
1\. Strategic Calendar \& Workflow Management
- Total Calendar Ownership: Masterfully manage a fluid schedule, balancing deep\-work blocks, content shoots, and high\-stakes meetings across multiple time zones.
- Buffer \& Energy Management: Proactively protect the Principal’s time, ensuring adequate transition periods and "off\-grid" focus sessions.
- Logistics: Coordinate all travel, dining, and professional appearances with "end\-to\-end" precision.
- Dossier Preparation: Prior to every meeting, you will provide a concise brief on the participants (bio, recent achievements, mutual connections, and the specific "win" for the call).
- Contact CRM Management: Maintain and organize an elite network of influencers, clinicians, and business partners, ensuring timely follow\-ups and "relationship maintenance" touches.
- Gift \& Milestone Tracking: Manage a database of key dates for the network to ensure thoughtful, high\-level engagement.
- Engagement Management: Monitor and respond to DMs and comments across Instagram, YouTube, and other platforms, maintaining the Principal’s specific voice and brand standards.
- Lead Identification: Sift through inbound inquiries to identify high\-value partnership opportunities or pressing community needs.
- Content Support: Coordinate with production teams to ensure assets are organized and deadlines for posting/collaboration are met.
- Communication Synthesis: Act as the primary point of contact for internal teams and external vendors, filtering noise and surfacing only what requires the Principal’s attention.
- Special Projects: Lead ad\-hoc projects ranging from sourcing high\-end studio hardware to researching specialized health and longevity protocols.
- Document Review: Handle sensitive contracts, NDAs, and professional correspondence with absolute confidentiality.
- Experience: 5\+ years supporting C\-Suite executives or high\-profile founders, ideally within the tech, health, or media sectors.
- Communication: Exceptional written and verbal skills. You must be able to draft professional emails and witty, engaging social media replies with equal ease.
- Tech Stack: Proficiency in Google Workspace, Slack, and professional CRM tools. Familiarity with OBS, video production workflows, or social media management suites is a significant plus.
- Temperament: Unshakeable under pressure. You are the "calm in the storm" who solves problems before the Principal even knows they exist.
- Precision: An obsessive attention to detail. "Good enough" is not in your vocabulary.
