Overview

We are seeking a highly organized and proactive Operations Assistant to support our team in daily office functions and project coordination. This role is essential for maintaining smooth operations, managing administrative tasks, and providing executive support. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with various digital tools. Prior experience in administrative or personal assistant roles is preferred.

This is a Hybrid Role with 2\-3 days in the office per week. The ideal candidate would be living within a reasonable commute distance from NJ zip code 07739\.

Duties

  • Provide comprehensive administrative support to executives and team members.
  • Manage office operations such as filing, data entry, and maintaining organized records through efficient clerical practices.
  • Utilize accounting software for basic invoicing, and expense tracking.
  • Own AR activities including accurate invoicing and payment follow up activities.
  • Issue contracts and SOWs using our online contracting system.
  • Make required updates in the CRM system.
  • Contribute to content marketing efforts by writing compelling copy for blogs, newsletters, product descriptions, and advertisements.
  • Collaborate with Sales, Marketing, and operations.
  • Maintain employees and contractors information and keep it up to date.
  • Assist with recruitment process using online recruitment platforms.
  • Prepare various documents through proofreading, transcription, and document signing via online contract software.
  • Support project coordination efforts by tracking deadlines, preparing reports, and ensuring timely completion of tasks.
  • Provide executive administrative support including email correspondence, report generation, and other ad hoc tasks as needed.
  • Requirements

  • Positive attitude, organized, proactive, eager to learn new things.
  • Proven experience in office administration or executive support roles.
  • Strong organizational skills with the ability to manage multiple tasks efficiently.
  • Excellent research skills with an eye for detail in data analysis and reporting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Microsoft Outlook, Teams, and other online tools.
  • Excellent typing skills along with transcription and proofreading capabilities.
  • Ability to handle confidential information discreetly and professionally.
  • Ability to manage multiple projects simultaneously while meeting deadlines.
  • Exceptional communication skills—both written and verbal—and customer service orientation.
  • Demonstrated ability to work independently with minimal supervision while collaborating effectively within a team environment.
  • Office experience including filing systems, clerical duties, front desk operations, and office management responsibilities is highly desirable.
