Duties

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
  • Answer multi\-line phone systems efficiently, directing calls to appropriate departments or personnel
  • Manage appointment scheduling and calendar coordination using tools like Google Workspace and Microsoft Office
  • Handle data entry, filing, and document proofreading with accuracy and attention to detail
  • Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
  • Maintain organized records of visitor logs, correspondence, and administrative files
  • Provide excellent customer support through professional phone etiquette and personalized assistance
  • Requirements

  • Proven office management or clerical experience in a fast\-paced environment
  • Strong computer literacy including proficiency with Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Experience with multi\-line phone systems and excellent phone etiquette
  • Bilingual abilities are highly preferred to serve diverse client needs effectively
  • Exceptional organizational skills with the ability to prioritize tasks efficiently
  • Previous experience in customer service or as a medical/dental receptionist is advantageous
  • Ability to type quickly with high accuracy; proofreading skills are a plus
  • Knowledge of office management software such as QuickBooks or bookkeeping tools is desirable
  • Strong time management skills with the ability to handle multiple responsibilities seamlessly
  • Personal assistant or calendar management experience is beneficial for supporting executives or teams
