JOB OVERVIEW
Job Description
The Target Hiring Range for this position is: $55,000\- $70,000
The Sergeant at Arms is seeking an Administrative Specialist to provide high\-level administrative support to the Executive Office. This position will work to ensure smooth operations within the Executive Office, assisting with managing correspondence and documents, phone inquiries, supplies, and other duties as assigned. The ideal candidate for this position is detail oriented, has exceptional written and verbal communication skills, time management skills, organization skills and shows initiative. The candidate must be able to provide exceptional customer service.
Key Accountabilities/Essential Job Duties
Provides support to SAA leadership and the Executive Office to ensure smooth operations and excellent service. Coordinates administrative processes and daily office operations such as room reservations, event planning, tour requests, incoming and outgoing mail, and other requests for the SAA and Senate community. Manages the review of documents such as memos, letters, brochures, and flyers that must be reviewed by SAA leadership, including tracking edits and maintaining a record of all documents. Directs inquiries from telephone calls and emails to the appropriate division in a timely and accurate manner; greets guests. Ensures supplies and technology equipment are available and office machines are operational. Other duties as assigned.
JOB SPECIFICATIONS
Required Education
BA/BS.
Other Duties/ Responsibilities
- Duty Admin Program participation.
- Perform the duty of the alternate Office Emergency Coordinator.
- Three years of relevant experience, or equivalent combination of education and experience.
- Work experience in a Senate office or committee is desirable.
- As part of our hiring process, we may conduct a skills assessment to better understand an applicant’s proficiency in key areas relevant to the role.
- Ability to write well and problem\-solve.
- Ability to multi\-task several responsibilities while simultaneously providing exceptional customer service.
- Ability to answer a multi\-line phone system with a high call volume.
- Ability to use office equipment, computers, and the ability to learn specialized scheduling software and other programs.
- Ability to provide consistent, exceptional customer service for all guests and customers.
- Ability to learn the Capitol building and surrounding area.
- Knowledge of modern office practices and procedures.
- Ability to follow specific rules, regulations, procedures and protocols.
- Ability to comprehend and follow written and verbal instructions.
- Ability to establish and maintain effective working relationships with co\-workers, customers, guests, and the public.
- Prior administrative experience is preferred.
- Experience in the legislative branch is preferred.
- Since this position requires onsite presence in support of the U.S. Senate when in session, this position requires the employee to be available and prepared to work during government shutdowns, in inclement weather, on holidays, and during late night, overnight, and weekend sessions.
- No exceptional physical demands. Occasional late nights and weekend work.
- This position requires that the applicant obtain and maintain a Secret U.S. Government security clearance.
