We are seeking an experienced Applications Project Manager to support our continued growth and commitment to deliver exceptional client outcomes.
#### Job Summary
The Applications Project Manager is responsible for leading the full lifecycle of Epic EHR and other third\-party software installations and optimizations, managing project scope, timelines, risk mitigation, and member relations. They serve as the primary contact, ensuring successful, compliant project delivery while fostering stakeholder trust. The role requires strong organizational, communication, and leadership skills for managing complex projects, ensuring the project(s) are delivered on time and within scope.
#### Key Responsibilities
- Project Planning and Governance: Develops, executes, or updates detailed project plans and schedules, aligned with governance frameworks
- Project Issue and Risk Management: Identify risks, develop mitigation plans, and report on KPIs to leadership
- Coordination of Project Communications: Coordinate project milestones across involved teams ensuring alignment with systemwide governance, best practices, and longterm strategy
- Enterprise Optimizations: Lead planning and execution of optimization \& efficiencies program across clinical and revenue cycle domains
- Continuous Improvement: Partners with operational, clinical, and IT stakeholders to identify workflow gaps, redundancies, and improvement opportunities
- Operational Readiness: Drive readiness activities for all clients to ensure successful project adoption
- Communication Management: Coordinates project communication between implementing clients and application project managers.
- Scope Management: Ensures that projects are delivered within the predefined scope of the project. Identifies "scope creep" and escalates to Director(s).
- Financial Oversight: Monitors and ensures accurate invoicing against project milestones.
- Project Artifact Management: Maintains project artifacts as a key input to postproject “Lessons Learned” meetings. Updates project implementation documents to opportunities uncovered.
- Industry Expertise: Maintains knowledge of industry trends
- Customer Experience: Delivers a "consultative" experience, ensuring clients feel supported and informed throughout the project.
- Proven Project Mastery: You bring at least 3 years of project management experience, with a background in MSP or technology consulting environments highly preferred. You understand the pace and precision required in a clientfacing tech space.
- Tech Savvy: You are proficient in Project Management software, with a strong preference for Jira to keep workflows moving and teams aligned.
- Operational Integrity (Time Entry): You’ll lead by example in daily timeentry compliance, ensuring all work—billable or nonbillable—is recorded with the detailed insights our clients value.
- Milestone Precision: You take pride in accuracy, consistently hitting a 90% or higher success rate in meeting project milestones and securing client signoffs on time.
- HIPAA \& Healthcare Stewardship: Ensuring every implementation involving Protected Health Information (PHI) meets the highest HIPAA Security Rule standards, from encryption to access controls.
- Strategic Partnerships: Verifying that all thirdparty vendors are fully aligned with our mission through signed Business Associate Agreements (BAAs).
- Governance \& Privacy: Aligning project delivery with ISO 27001 and SOC 2 standards to meet the elite requirements of Xtensys clients, while ensuring all workflows remain compliant with regional data privacy laws.
- Bachelor’s degree in Computer Science, Business, or a related field. PMP or CAPM certification preferred.
- Up to 25% travel
- Sedentary work: Exerting up to 10 pounds of force occasionally in carrying, lifting, pushing, and pulling objects. Sitting most of the time, with walking and standing required only occasionally.
