Job Title: Emergency Services Assistant

Pay Range: $16\.00\-$17\.50 per hour
FLSA Status: Non\-Exempt
Hours: 20 Hours weekly 10\-2 M\-F Flexible hours available

I. PURPOSE AND SUMMARY OF RESPONSIBILITIES
The Emergency Services Assistant supports the Emergency Services Team and Community Services Manager in carrying out departmental activities. This position assists in coordinating human service needs for Agency customers by building supportive relationships with individuals and families, identifying barriers to self\-sufficiency, and connecting customers with appropriate resources and services.
II. ESSENTIAL RESPONSIBILITIES
A. Administrative Responsibilities
Assist customers in identifying needs, setting goals, implementing solutions, and monitoring and reporting outcomes.
Conduct customer interviews and assist with direct Agency services; advocate for customer needs by providing emergency services, referrals, and/or housing assistance.
Maintain accurate and timely customer files, case notes, and monthly reports.
Perform accurate and timely data entry into Agency data systems.
Assist with report preparation and tracking tools as needed.
Answer incoming telephone calls, resolve inquiries when possible, and route calls appropriately; refer callers to outside agencies as necessary.
Accurately record time worked and submit paid time off requests in accordance with Agency policy.
Maintain a clean, safe, and professional workspace for staff and visiting customers.
Monitor office supply inventory and coordinate supply orders with the Community Services Manager.
Demonstrate working knowledge of Microsoft Word, Excel, Outlook, Teams, and other software required for the position.
B. Direct Service Responsibilities
Enter and maintain customer information in the Agency’s data management system (imPowr).
Provide data entry and administrative support to the Emergency Services Team and Community Services Manager as needed.
Collaborate with the Emergency Services Team, Community Services Manager, and Director of Community Services and Reporting to develop brochures and materials supporting program services, public education, and Agency promotion.
Build and maintain collaborative relationships with other human services agencies.
Maintain strict confidentiality regarding Agency customers, employees, and all Agency business information.
Demonstrate flexibility to work outside normal business hours, including evenings and weekends, as program needs require.
Participate in Agency\-sponsored events, including food pop\-up distributions and community education events.
Maintain the food pantry in compliance with all applicable regulations and Agency procedures.
Provide coverage at any Agency location as needed.
C. Professional Development
Complete all required internal and external trainings as assigned.
Attend conferences, trainings, and meetings as needed to support Agency programs and professional development.
III. MARGINAL RESPONSIBILITIES
Perform other duties as assigned by the Community Services Manager, Director, and/or CEO.
IV. RELATIONSHIPS
A. Internal
Maintain professional, cooperative, and effective communication with the Emergency Services Team, Community Services Manager, Directors, CEO, and all Agency staff.
Supervision Received:
Frequent supervision – 25%
Several times daily – 25%
Occasional supervision for routine duties with standard procedures – 30%
Limited supervision with personal responsibility and some choice of methods – 10%
Minimal supervision – 5%
Little or no direct supervision – 5%
B. External
Promote community awareness of Community Action of Orleans \& Genesee programs and services.
Communicate professionally and effectively with customers and the general public at all times.
Represent the Agency at community events as assigned.
V. WORK ENVIRONMENT
Work is performed at Community Action worksites with moderate noise from phones, customers, office equipment, and staff.
Regular interaction with customers who may be experiencing crisis situations, with guidance and support from the Community Services Manager or Director, including situations involving high\-risk decisions.
Required to dress appropriately for daily duties and scheduled activities.
Willingness to travel for meetings, trainings, and Agency events as assigned.

Additional demands include frequent telephone use, reading, report preparation, food pantry oversight, and routine use of computers and standard office equipment.
VII. MINIMUM REQUIRED EDUCATION AND EXPERIENCE
High School Diploma or GED required, plus at least one (1\) year of related experience.
Valid driver’s license, acceptable driving record, and insurance coverage in accordance with Agency policy; or reliable transportation coordinated and managed by the employee.
