Job Summary
Administration assistant duties and responsibilities include providing administrative support to ensure the efficient operation of the office. Support managers, supervisors, and employees through a variety of tasks related to organization and communications. Responsible for confidential and time\-sensitive material. Familiar with a variety of fields’ concepts, practices, and procedures. Ability to effectively communicate via phone and email, ensuring that all administrative tasks pertinent to the position duties are completed accurately and delivered with high quality and on time. Rely on experience and judgment to plan and accomplish goals, and a wide degree of creativity and latitude is expected. Reports to the CEO.
Responsibilities:
· Problem Solving and Resourcefulness: Being proactive, thinking creatively, and troubleshooting issues to maintain smooth operations and support organizational goals.
· Interpersonal Skills and Customer Service: Strong interpersonal skills foster positive relationships with clients, co\-workers, and vendors.
· Adaptability and Tech Savviness: Modern administrative roles require flexibility to work in hybrid or remote environments and to leverage AI and automation tools for productivity and real\-time insights.
· Confidentiality and Discretion: Handling sensitive information responsibly is essential. Administrative assistants must maintain confidentiality in communications, documents, and digital files.
· Organizational Skills: Ability to multitask, prioritize, and manage efficiently.
· Communication Skills: Strong written and verbal communication for internal and external interactions.
· Technical Proficiency: Familiarity with office software such as Microsoft Office suite (Word, Excel, Outlook, PowerPoint) or Google Workspace, and basic office equipment.
· Attention Detail: Ensuring accuracy in documentation, data entry, and scheduling.
· Arranging and attending meetings and marketing events as required.
· Performing basic data entry as required.
· Practical skills in plumbing, electrical systems, carpentry, painting, and HVAC basics.
· Travel within Central Florida counties as may be required.
· Visit medical offices, medical facilities, and courthouses promoting agency services
· Participate in Community Fairs and other events.
· Prepare reports for the Administration of marketing visits to the community.
Requirements:
· Have 1 year or more of experience as an administrative employee or similar position
· Florida Driver's License Clean Record Required
· Knowledge of office management systems and procedures
· Excellent time management skills and ability to multitask and prioritize work
· Superb written and verbal communication skills
· Be proficient in English and Spanish
· Have excellent knowledge of MS Office
· Have good organizational and multi\-tasking abilities
· Client service orientation and strong communication skills
· Good management in scheduling
· Understanding basic computer management
· High school diploma or equivalent; college degree preferred
