Duties

  • Greet visitors, clients, and vendors warmly and professionally upon arrival
  • Answer multi\-line phone systems promptly and courteously, directing calls efficiently
  • Manage appointment scheduling and calendar management using various digital tools
  • Perform data entry, filing, and maintain accurate records using Microsoft Office and Google Workspace
  • Handle incoming correspondence, emails, and inquiries with attention to detail
  • Assist with clerical tasks such as proofreading documents, managing office supplies, and organizing files
  • Support office management activities including bookkeeping, time management, and basic bookkeeping tasks
  • Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite and Google Workspace applications
  • Excellent phone etiquette with experience managing multi\-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Prior office experience or administrative experience is preferred to ensure smooth workflow management
  • Exceptional organizational skills with the ability to prioritize tasks efficiently
  • Typing speed and accuracy to support data entry and document preparation
  • Knowledge of customer service best practices to foster positive interactions with visitors and clients
  • Familiarity with medical or dental receptionist duties is a plus but not required
  • Experience with QuickBooks or bookkeeping software is advantageous for handling financial tasks
  • Personal assistant or office management experience will enhance your ability to support team operations effectively
