The Department of Philosophy at Bridgewater State University prepares students in our philosophy degree program with an education rooted in analytic philosophy, social and political philosophy, and the history of philosophy. Youll be able to confidently analyze complex issues and articulate them through sound, logical argument. Youll explore the fundamental questions of social and political philosophy and be encouraged to pursue your own research.
Position Summary:
Serving a diverse campus community, the Administrative Assistant I will serve as the primary contact for student questions, responding to inquiries via phone, in person and email; administrative matters regarding academic affairs, accreditation, faculty concerns, and budget/facility/scheduling issues. This position also supervises up to several student workers who assist in the day\-to\-day management of the office. This position serves the Department of Global Languages \& Literatures and the Department of Philosophy.

This is a full\-time, 12\-month, AFSCME and is subject to the terms of that unit agreement.
Tour of Duty: 8:45 a.m. \- 5:00 p.m.
Monday through Friday
(Saturdays and Sundays as days off)
This position is located in Bridgewater, MA and may be eligible for a hybrid schedule in accordance with BSU remote work policy.

Essential Duties:
1\. Facilitate overall front office customer service efforts and serve as initial contact for all in\-person customer service activities within the Office/department by answering phone calls and greeting walk\-in traffic.
2\. Perform clerical duties including but not limited to: answering telephones and directing calls; data entry; responding to departmental e\-mail and voicemail; approving and distributing flyers; assisting in preparation of large mailings; taking minutes at staff meeting; and sorting and distributing mail daily.
3\. Supervise and train student employees.
4\. Update and maintain the various department websites; develop and maintain social media platforms for the department; develop and maintain department promotion materials.
5\. Maintain inventory of office supplies, technology, and equipment for physical activity courses and labs; order equipment and supplies as needed.
6\. Schedule or arrange for conferences, meetings, and interviews by reserving required facilities, checking the availability of parties involved, ordering catering (internal and external), and notifying appropriate individuals of dates, times and locations.
7\. Maintain attendance records for faculty.
8\. Prepare and update course schedules using the year long scheduling process.
9\. Oversee budgets for the Department, prepare purchase orders, contracts, budget transfers, and order items for faculty using department funds and coordinate reimbursement when items are purchased with personal funds.
10\. Collect data and prepare ad hoc reports.
11\. Organize several social events in the Department.
12\. Attend Department meetings (if requested) and take the minutes of the meetings.
13\. Maintain undergraduate and graduate student advising lists.
14\. Other duties as assigned.

- Applicants must have at least (A) two years of full\-time, or equivalent part\-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below.

Required Qualifications:
I. An Associates or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.
II. An Associates or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
