The Medical Administrative Assistant (also known as a Case Management Extender) provides aid to Case Managers. Specific tasks are performed at the request of individual case managers or assigned by department management to meet business needs.
Duties and Responsibilities:
Patient and Provider Communication
- Complete appointment confirmations; make calls to providers and prepare/send letters to patients
- Perform medical record requests; make calls to providers and vendors
- Complete physician research requests
- Facilitate medical provider prepayments
- Coordinate translation \& transportation; make calls to vendors
- Organize, maintain, print, and upload medical records in compliance with internal standards and regulatory requirements.
- Process and reconcile medical record related invoices.
- Manage release of information requests and distribute disclosure letters.
- Coordinate and fulfill legal medical record requests.
- Update and maintain database records to ensure accuracy and data integrity.
- Perform accurate data entry across multiple systems.
- Complete tasks using Excel spreadsheets, including data tracking and updates.
- Convert documents and upload records into ALARISware.
- Conduct referral cleanup and ensure documentation completeness.
- Distribute reports to internal and external stakeholders.
- Manage incoming and outgoing fax communications.
- Produce outgoing mail and letters and complete in\-office mail verification processes.
- Scan, sort, and distribute incoming mail in a timely manner.
- Answer inbound company phone calls and route inquiries appropriately.
- Perform additional tasks and special projects as assigned by supervisor.
- Maintain reliable and predictable attendance during scheduled work hours or core business hours.
- Employees residing within 50 miles of the Sioux Falls, SD office will be classified as Hybrid; remote classification must be approved by leadership and is dependent upon the needs of the business.
- Hybrid employees residing within a 50\-mile radius of a Paradigm office may be asked to work onsite during one of their normally scheduled remote days, as needed at leadership’s discretion.
- Responsible for complying with Paradigm Information Security requirements and policies, for safeguarding Paradigm or Paradigm related passwords, and for notifying Paradigm of any Information Security incidents per policy SEC 10\-12 Information Security Incident Management.
- High School Diploma, post\-secondary education preferred.
- Any equivalent industry experience is determined to be acceptable.
- Responds to urgency of tasks and can prioritize workload.
- Ability to enter data for extended periods of time.
- Exceptional computer skills including Microsoft Office, PowerPoint, and web\-based applications, including case management software. Proficiency with Microsoft Outlook and Teams; SharePoint desired.
- Operate office machinery including but not limited to: computers, faxes, printers, phones.
- Clear, concise, and professional verbal and written communication.
- Proven interpersonal skills.
- Capability to work from home and with minimal supervision. Must adhere to the Paradigm Remote Working Policy and Guidelines.
- Excellent attention to detail.
- Proven problem\-solving skills.
