Job Description:
We are seeking a friendly, organized, and professional Office Assistant who will serve as one of the first points of contact for our clients. In this role, you will play an important part in creating a positive experience for homeowners by providing excellent customer service over the phone and through email. You will assist clients with scheduling, answer questions, and ensure each interaction is handled with professionalism, patience, and care.
This position is ideal for someone who enjoys helping people, communicates confidently over the phone, and can stay calm, organized, and attentive in a fast\-paced environment while following established processes.
Key Responsibilities:
- Provide a warm and professional first impression by answering incoming phone calls and assisting clients with questions, scheduling, and general inquiries.
- Schedule and confirm appointments for consultations, design reviews, and project meetings while ensuring clear communication with clients.
- Respond to emails and client messages promptly, professionally, and with a strong customer service mindset.
- Communicate helpful updates, reminders, and information to clients throughout their project process.
- Maintain accurate and organized client records, notes, and communication logs.
- Assist with organizing project documentation such as contracts, permits, invoices, and change orders.
- Support the office and project management team with administrative tasks to ensure a smooth and positive client experience.
- Friendly, outgoing personality and comfortable speaking with clients over the phone.
- Professional communication skills and strong customer service mindset.
- Ability to remain calm and organized in a fast\-paced environment.
- Detail\-oriented and able to follow specific instructions and processes.
