Position Summary
We are seeking a Part\-Time Administrative Assistant to support the CEO and Directors of the organization. This hybrid position requires a professional, organized, and detail\-oriented individual who can manage complex administrative tasks and maintain confidentiality.
The Administrative Assistant will handle documentation, timelines, and correspondence, and assist with low\-level HR matters under the direction of the Director of Operations. This role is ideal for someone with strong writing skills, exceptional attention to detail, and the ability to manage multiple projects with minimal supervision.
Key Responsibilities
- Provide direct administrative support to the CEO and Directors.
- Prepare, proofread, and format professional correspondence, reports, and internal documents.
- Maintain schedules, timelines, and follow\-up lists for organizational priorities.
- Collect, organize, and categorize documents for recordkeeping and compliance.
- Track and maintain administrative files and records in digital and physical formats.
- Assist the Director of Operations with low\-level HR issues (e.g., documentation, employee correspondence) to prepare for formal HR review.
- Manage sensitive information with the highest level of professionalism and confidentiality.
- Coordinate meetings, take detailed notes, and ensure timely distribution of materials.
- Support the leadership team in project tracking and administrative follow\-up.
- Perform general administrative duties as needed to ensure smooth office operations.
- Other duties as they arise and are assigned.
- Strong written and verbal communication skills.
- Exceptional organization and time management abilities.
- Ability to work independently and prioritize multiple tasks.
- Professional and courteous communication with staff, leadership, and external partners.
- Accuracy in documentation, file naming, and categorization.
- Discretion and professionalism when handling confidential materials.
- Minimum 3 years of administrative or executive assistant experience (nonprofit or healthcare setting preferred).
- Proven ability to manage complex administrative issues and meet deadlines.
- Superior writing, editing, and formatting skills.
- Strong problem\-solving, follow\-through, and critical\-thinking abilities.
- Demonstrated reliability and ability to maintain professionalism under pressure.
- Experience supporting multiple leaders or departments is a plus.
- Will work out of primary assigned office. Some travel to other TH\&WC locations ( Riverside, Palm Springs, San Diego) and remote work may be assigned.
- Part\-time schedule (approximately 20–25 hours per week).

Basic Administrative Skills Required
* Excellent typing and computer skills, including Microsoft Office (Word, Excel, Outlook) and Google Workspace.
