Opportunity Overview

We have an immediate opening for a Laboratory Administrative Assistant to join our team at Reproductive Science Centers of the San Francisco Bay Area. This position will support our laboratory and clinic in San Ramon, California.

* Schedule: Monday through Friday, 7:00 AM to 3:30 PM

* Compensation: $24 to $28 per hour (commensurate with experience)

In this role, the Laboratory Administrative Assistant will:

  • Ensure accurate and timely entry of ART data for SART reporting, maintaining records that are current and compliant.
  • Manage and maintain cryo inventory logs, collaborating with the Financial Department to ensure accurate patient records and billing.
  • Verify completion of Embryo Disposition Forms and coordinate timely communication and mailing to patients.
  • Oversee the consent process for embryo and semen discard or donation, ensuring compliance with established standards and notifying finance of specimen status changes.
  • Prepare and maintain patient charts and records, including archiving and purging files in accordance with departmental procedures.
  • Develop and maintain an organized document management system for efficient access and retrieval of current and archived records.
  • Prepare reports, presentations, charts, and data summaries using Microsoft Word, Excel, and PowerPoint.
  • Support departmental operations through administrative tasks such as correspondence, document preparation, and coordination of internal communications.
  • Maintain staff documentation and records, including licensing, credentialing, continuing education, evaluations, and required training.
  • Coordinate meetings, travel, and departmental activities, including scheduling and recording meeting minutes while handling confidential information with discretion.

  • Demonstrated high level of interpersonal skills with the ability to handle sensitive and confidential information with discretion.

  • The ability to communicate effectively with individuals at all levels of the organization.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Access, and PowerPoint.
  • Strong attention to detail when composing, typing, and proofreading documents.
  • Excellent organizational and prioritization skills with the ability to meet deadlines.
  • The ability to manage multiple competing tasks while maintaining accuracy and efficiency.
  • Comfortable working in a fast\-paced environment with shifting priorities.
