Overview
The Assistant Business Office Manager (ABOM) provides administrative, operational, and coordination support to the local hospice office. This hybrid role supports daily non\-clinical operations, patient intake, scheduling, HR file management, and medical records workflows. The ABOM works closely with the Business Office Manager and Director of Clinical Services to maintain compliance, data accuracy, and team efficiency.
Key Responsibilities
- Support day\-to\-day administrative functions of the office including document processing, filing, correspondence, and internal communications.
- Collaborate with clinical, intake, and administrative staff to ensure billing\-related data is accurately captured, documented, and routed in a timely manner to support claims processing and reimbursement workflows.
- Prepare and submit accounts receivable reports and follow\-up documentation as requested by the Business Office Manager, ensuring timely delivery to leadership or external stakeholders as needed.
- Assist with intake and referral entry when centralized intake is unavailable or experiencing high volume.
- Collaborate with the Director of Clinical Services on Hospice Aide/CNA visit scheduling and workflow support as needed.
- Coordinate with interdisciplinary team members to ensure documentation is reviewed, uploaded, and routed appropriately in the electronic medical record.
- Prepare reports and materials for IDG meetings, including updating caseload and patient status summaries.
- Monitor compliance with agency standards for records retention, documentation, and patient data entry.
- Assist with human resource administrative tasks such as onboarding paperwork, document scanning, background screening, and file audits.
- Route phone calls, faxes, and mail accurately and in a timely manner.
- Assist with tracking employee timekeeping, PTO entries, and daily attendance records.
- Serve as a local resource for EMR navigation and documentation workflows; escalate issues to leadership or IT support as needed.
- Maintain confidentiality and professionalism in handling sensitive information.
- Participate in department meetings, in\-services, and training sessions as requested.
- Provide additional administrative or project support as assigned by the Business Office Manager or site leadership.
- Performs other duties as assigned.
- Minimum of two (2\) years of administrative experience in a healthcare or hospice setting preferred.
- Bachelor's or Associate's degree from accredited college with specialization in business or accounting preferred.
- Supervisory experience preferred.
- Proficiency with general office software and electronic record systems.
- Excellent verbal, written, and interpersonal communication skills.
- Ability to manage multiple priorities, meet deadlines, and work independently in a fast\-paced environment.
- High level of discretion and professionalism in handling patient and employee information.
- Strong organizational skills and attention to detail.
- Demonstrated ability to collaborate across clinical and administrative functions.
