Job Overview

We are seeking an energetic and detail\-oriented (Legal) Receptionist/Front Desk professional to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support office management tasks to ensure smooth daily operations. Duties

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
  • Manage multi\-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette
  • Handle appointment scheduling, calendar management, and coordinate meetings for staff executives and our teams.
  • Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, Excel and other office software
  • Support office management tasks such as supply ordering, mail handling, and basic taking payments, possibly bookkeeping with QuickBooks or similar tools
  • Assist with clerical duties including proofreading documents, managing correspondence, and organizing files
  • Provide customer support by addressing inquiries professionally and ensuring excellent service at all times
  • Requirements

  • Proven experience in office administration or reception roles with strong clerical skills
  • Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), and data entry skills, legal software is a bonus.
  • Strong organizational skills with the ability to multitask effectively in a fast\-paced environment
  • Exceptional phone etiquette and customer service skills to handle inquiries courteously and efficiently
  • Bilingual abilities are highly desirable to assist diverse client needs
  • Experience with multi\-line phone systems and office management
  • Knowledge of medical or dental receptionist procedures is a plus but not required
  • Personal assistant or medical receptionist experience is advantageous for supporting various administrative functions
  • Ability to maintain confidentiality and demonstrate professionalism at all times
