Job Overview

We are seeking an energetic and detail\-oriented Secretary/Receptionist to be the welcoming face and organizational hub of our office. This vital role combines front desk responsibilities, administrative support, and customer service to ensure smooth daily operations. Duties

  • Greet visitors, clients, and vendors warmly while maintaining professional phone etiquette at all times
  • Manage multi\-line phone systems, screen calls, and direct inquiries appropriately
  • Handle front desk operations including scheduling appointments, maintaining calendars, and managing incoming/outgoing mail
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Utilize office software such as Microsoft Office, Google Workspace, and QuickBooks for administrative tasks and bookkeeping
  • Support office management activities including supply inventory, equipment maintenance, and general clerical duties
  • Provide exceptional customer service by responding promptly to inquiries via phone or email and offering assistance as needed
  • Qualifications

  • Proven office experience with strong clerical skills and familiarity with office management procedures
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
  • Experience with multi\-line phone systems, calendar management, and phone etiquette
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Knowledge of QuickBooks or bookkeeping experience is a plus for handling basic financial records
  • Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Strong typing skills along with attention to detail for proofreading documents and maintaining accurate records
  • Previous experience as a dental or medical receptionist is advantageous but not required; relevant personal assistant experience is also valuable
