About the Role
We are a small business group looking for a dependable Administrative Operations Assistant to help with occasional administrative and compliance\-related tasks as they arise.
This role is ideal for someone who is comfortable handling follow\-ups, navigating online portals, and making phone calls to agencies to gather information. The work is not daily or ongoing — tasks come up periodically when notices, renewals, or administrative issues occur.
This is not a personal assistant role and does not involve email management, calendar scheduling, or social media.
What You’ll Be Doing (Specific Examples)
Tasks may include:
- Logging into government or agency portals (IRS, state sales tax, unemployment, business licensing) to review notices or account status
- Calling agencies to confirm requirements, deadlines, or payment details
- Reviewing annual report or renewal notices and identifying what action is required
- Gathering information and clearly summarizing next steps for approval
- Completing filings or payments after approval is given
- Keeping simple notes on what was completed and any upcoming deadlines
- Checking a state sales tax portal to see if a filing or payment is due
- Calling the unemployment office to confirm account status or reporting requirements
- Reviewing an annual report reminder and confirming the filing deadline and fee
- Are comfortable making phone calls and waiting on hold when needed
- Have experience with administrative, operations, or compliance\-related work
