Overview

We are seeking a proactive and detail\-oriented Assistant to join our dynamic team! Duties

  • Manage front desk responsibilities, including greeting visitors and directing them appropriately
  • Operate multi\-line phone systems with professionalism, practicing excellent phone etiquette
  • Handle data entry tasks accurately using computer literacy skills in Microsoft Office and Google Workspace applications
  • Maintain organized filing systems and manage document proofreading for clarity and accuracy
  • Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings
  • Assist with bookkeeping duties using QuickBooks or similar accounting software
  • Provide exceptional customer support via phone, email, or in person, ensuring client needs are met promptly and courteously
  • Perform clerical tasks including filing, photocopying, and preparing correspondence with strong attention to detail
  • Support administrative functions such as time management, task prioritization, and maintaining office supplies
  • Qualifications

  • Proven experience in office administration or clerical roles with at least some office experience preferred
  • Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Excellent organizational skills with the ability to multitask efficiently in a fast\-paced environment
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Previous experience as a receptionist or personal assistant is a plus; familiarity with medical or dental receptionist duties is advantageous
  • Demonstrated phone etiquette and customer service skills that foster positive interactions
  • Ability to perform data entry accurately with good typing speed and attention to detail
  • Knowledge of office management practices including filing systems and calendar management
  • Strong organizational skills complemented by effective time management techniques
  • Proofreading skills to ensure professional communication at all times
