Job Overview

We are seeking a dynamic and friendly Front Desk Staff member to be the welcoming face of our organization. This role is vital in creating a positive first impression for visitors, clients, and team members alike. As the front line of our office, you will manage daily administrative tasks, handle multi\-line phone systems with professionalism, and ensure smooth office operations. Your energetic approach and organizational skills will help foster an efficient, welcoming environment where everyone feels valued and supported.

Duties

  • Greet visitors warmly and direct them appropriately, ensuring a positive experience from the moment they arrive
  • Manage multi\-line phone systems, screen calls, take messages, and transfer calls efficiently using proper phone etiquette
  • Maintain a tidy and organized reception area, including filing, data entry, and updating office supplies
  • Schedule appointments and manage calendar entries using Microsoft Office and Google Workspace tools
  • Assist with clerical tasks such as proofreading documents, data entry, and maintaining accurate records
  • Support office management activities including bookkeeping, proofing correspondence, and supporting administrative projects
  • Provide excellent customer support by responding promptly to inquiries via phone or email
  • Requirements

  • Proven experience in office management or as a receptionist, ideally within a healthcare or professional setting such as dental or medical offices
  • Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and basic data entry abilities
  • Familiarity with multi\-line phone systems and excellent phone etiquette skills
  • Bilingual abilities are highly preferred to assist diverse client needs effectively
  • Exceptional organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Previous clerical or administrative experience including filing, proofreading, and calendar management
  • Knowledge of QuickBooks or bookkeeping experience is a plus but not required
  • Ability to handle confidential information discreetly while providing outstanding customer service
  • Personal assistant or medical receptionist experience is advantageous but not mandatory
