Job Overview

We are seeking a dynamic and organized Office Assistant to join our team and help keep our daily operations running smoothly. In this vital role, you will serve as the first point of contact for visitors and callers, manage administrative tasks, and support office management functions. Responsibilities

  • Greet visitors and clients at the front desk with professionalism and a friendly demeanor
  • Manage multi\-line phone systems, directing calls accurately and courteously using proper phone etiquette
  • Handle data entry, filing, and document proofreading to maintain organized records
  • Assist with calendar management, scheduling appointments, and coordinating meetings using Microsoft Office, Google Workspace tools, accounts payable and receivable, book keeping, quick books, peach tree, sales taxes, microsoft office.
  • Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping with QuickBooks or similar software
  • Provide excellent customer service by responding promptly to inquiries via phone or email and supporting client needs
  • Perform clerical duties including typing correspondence, updating databases, and maintaining accurate records of office activities
  • Experience

  • Previous office experience or clerical experience demonstrating strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Familiarity with QuickBooks or other bookkeeping software is preferred, positive pay, accounts payable, accounts receivable, sales tax, etc.
  • Bilingual abilities are highly valued to assist diverse clients and team members
  • Experience in customer support roles or as a receptionist is a plus
  • Strong computer literacy, including data entry, proofreading, filing, and managing multi\-line phone systems
  • Excellent time management skills with the ability to prioritize tasks efficiently
  • Personal assistant and receptionist experience is advantageous but not required
