Responsibilities
- Greet visitors and clients warmly, providing excellent customer service at the front desk
- Manage multi\-line phone systems, directing calls accurately and professionally
- Perform data entry and maintain organized filing systems for easy retrieval of documents
- Handle scheduling and calendar management for appointments and meetings using tools like Google Workspace and Microsoft Office
- Assist with bookkeeping tasks using QuickBooks or similar accounting software
- Support office management by coordinating supplies, maintaining equipment, and overseeing general administrative duties
- Proofread correspondence, reports, and documents to ensure accuracy and professionalism
- Provide administrative support including photocopying, scanning, faxing, and mailing documents
- Maintain confidentiality of sensitive information and uphold high standards of phone etiquette and professionalism
- Prior office experience in a fast\-paced environment is preferred
- Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Experience with clerical tasks such as filing, data entry, proofreading, and document management
- Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Bilingual abilities are a plus to assist diverse client needs
- Knowledge of front desk operations, multi\-line phone systems, and customer support best practices is highly desirable
- Previous experience in medical or dental receptionist roles or as a personal assistant is advantageous
- Familiarity with office management software like QuickBooks or bookkeeping tools enhances your candidacy
