Overview

Duties

  • Manage and maintain detailed calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
  • Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, and transcribing notes to ensure clarity and professionalism.
  • Coordinate projects by tracking deadlines, preparing reports, and liaising with internal teams to ensure timely completion of tasks.
  • Handle office management responsibilities such as filing, data entry, bookkeeping with QuickBooks, and maintaining organized records to support daily operations.
  • Serve as the front desk point of contact by answering multi\-line phone systems with excellent phone etiquette, greeting visitors, and managing incoming inquiries efficiently.
  • Assist with event planning for meetings, conferences, or company functions—handling logistics from venue booking to catering arrangements.
  • Support personal assistant duties as needed, including personal scheduling or errands that contribute to executive productivity.
  • Requirements

  • Proven experience in executive administrative support or office management roles with a strong background in clerical tasks.
  • Exceptional organizational skills with the ability to prioritize multiple tasks effectively in a fast\-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with Microsoft Outlook Calendar.
  • Strong typing skills along with experience in transcription and proofreading to produce accurate documents swiftly.
  • Excellent communication skills—professional phone etiquette and the ability to interact confidently with internal teams and external contacts.
  • Demonstrated ability to manage complex calendars, coordinate projects, and handle confidential information discreetly.
  • Office experience including filing systems, front desk duties, data entry, and customer service is highly desirable.
