Job Title: Full Time Personal Assistant \+ Operations Coordinator

About the Role
We are seeking a highly capable, in person Personal Assistant to support the founder of our fast\-growing influencer and celebrity growth consulting business. This role blends business operations, automation, content execution, and personal support and requires someone who is exceptionally organized, tech\-savvy, and proactive.
This role is NOT remote. You will be embedded in the day\-to\-day flow of the business and personal life of the founder, helping manage systems, communication, content, and logistics with precision and discretion.
Core ResponsibilitiesBusiness Operations \& Automation
- Build, manage, and maintain backend automation flows across internal systems (CRM, email workflows, onboarding, task management)
- Create and document SOPs for recurring processes
- Identify operational gaps and proactively implement solutions
- Maintain organized digital systems, access permissions, and documentation
- Email \& Communication Management

- Manage business and personal email inboxes with strong prioritization
- Draft, send, and follow up on emails on behalf of the founder
- Track conversations, deadlines, and deliverables
- Handle confidential communication with professionalism and discretion
- Scheduling \& Call Support
- Manage calendars for business and personal commitments
- Schedule meetings, calls, and appointments
- Prepare call materials when needed
- Execute all post\-call follow\-ups including summaries, deliverables, and next steps
- Post content to the founder’s personal Instagram and company Instagram
- Edit short form video content (Reels) including basic trimming, captions, and formatting
- Organize content calendars and ensure timely posting
- Coordinate content drafts and assets with internal team members
- Assist with personal scheduling, errands, and life logistics
- Coordinate travel, purchases, reminders, and household\-related tasks as needed
- Act as a trusted gatekeeper for priorities, communication, and time
- Extremely organized and detail\-oriented
- Comfortable balancing professional and personal responsibilities
- Proactive, resourceful, and able to anticipate needs
- Techforward and confident working with automation tools
- Clear, polished, and warm in written communication
- Trustworthy, discreet, and respectful of privacy
- Comfortable working in a fast\-paced, high\-expectation environment
- Prior experience as a personal or executive assistant, operations coordinator, or similar role
- Experience managing email, calendars, and post\-meeting follow\-ups
- Familiarity with automation tools, CRMs, or workflow systems (or strong ability to learn quickly)
- Experience posting to Instagram and editing short\-form video content
- Strong organizational and time\-management skills
- Experience supporting founders or entrepreneurs
- Familiarity with content scheduling tools and social media workflows
- Experience with SOP creation and backend systems
- Comfort working across both business and personal task categories
