Job Summary
We are seeking a highly organized and bilingual Administrative Assistant to support our office operations. The ideal candidate will possess strong office management skills, excellent communication abilities in both English and Spanish, and proficiency with various office software. This role involves providing exceptional customer service, managing administrative tasks, and ensuring smooth daily operations within a professional environment. Prior office experience, including clerical duties and customer support, is essential to succeed in this position.
Duties
- Manage front desk responsibilities, including greeting visitors and handling multi\-line phone systems with professionalism and courtesy
- Perform data entry, filing, and document proofreading to maintain accurate records
- Utilize Microsoft Office Suite and Google Workspace for correspondence, reports, and scheduling
- Coordinate calendar management and appointment scheduling for staff and clients
- Handle bookkeeping tasks using QuickBooks or similar accounting software
- Provide customer service support via phone, email, and in\-person interactions
- Assist with office management tasks such as supply ordering, mail distribution, and maintaining organizational systems
- Support personal assistant functions including travel arrangements and personal scheduling as needed
- Maintain a professional appearance and adhere to phone etiquette standards at all times
- Bilingual proficiency in English and Spanish is required
- Proven experience in office management or administrative roles, including clerical experience and customer support
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, data entry, and basic bookkeeping skills
- Excellent organizational skills with the ability to multitask effectively and prioritize tasks efficiently
- Experience with multi\-line phone systems, front desk operations, and calendar management
- Attention to detail for proofreading documents and managing data accurately
- Strong communication skills with professional phone etiquette and customer service orientation
- Ability to work independently with minimal supervision while maintaining a high level of professionalism
