The Role

Support the firm owner with administrative workflows, client communications, event coordination, and business operations. This remote, part\-time role is ideal for someone who thrives in a structured environment, communicates with polish and professionalism, and has experience supporting high\-net\-worth clients in financial services.

Key Responsibilities:

  • Manage client communications with impeccable professionalism; schedule and coordinate meetings across time zones
  • Maintain accurate client records in Wealthbox CRM
  • Prepare meeting materials, client summaries, and follow\-up documentation; run reports and track business metrics
  • Assist with year\-end tax planning communications and coordinate timely follow\-ups for action items
  • Create polished digital assets using Canva for newsletters, social posts, and event materials
  • Plan and execute upscale client appreciation events; manage RSVPs, catering, vendors, and complex travel arrangements
  • REQUIRED QUALIFICATIONS:

  • 2\+ years remote executive assistant experience
  • 2\+ years in financial services or wealth management (strongly preferred)
  • Exceptional written and verbal communication with impeccable grammar
  • Demonstrated experience managing high\-net\-worth client relationships
  • Proficiency with Wealthbox CRM (or similar financial services CRM), Microsoft Office, Canva, and scheduling tools
  • Comfortable with insurance applications, annuity paperwork, and account transfer workflows
  • Strong organizational skills, discretion with confidential information, and ability to work independently remotely
  • Process insurance applications, annuities, and account transfers
  • PREFERRED QUALIFICATIONS:

  • Arizona\-based candidates preferred for occasional in\-person client events
  • Familiarity with financial planning concepts and custodial platforms
  • Experience supporting business transitions or event planning for upscale gatherings
  • Bachelor's degree
