Overview

We are seeking a highly organized and bilingual (English \& Spanish) Administrative Assistant to join our dynamic team. This role is essential in supporting office operations, providing excellent customer service, and ensuring smooth communication between clients and staff. The ideal candidate will have strong office management skills, proficiency in various computer applications, and the ability to handle multiple tasks efficiently. Previous experience in clerical or administrative roles, especially within medical or dental settings, is highly desirable. Responsibilities

  • Manage front desk duties including greeting visitors and answering multi\-line phone systems with professionalism and courtesy
  • Perform data entry, filing, and maintain organized records using Microsoft Office, Google Workspace, and other office management tools
  • Handle appointment scheduling, calendar management, and coordinate meetings for staff and clients
  • Assist with billing, bookkeeping, and QuickBooks entries to ensure accurate financial records
  • Provide customer support by addressing inquiries promptly and effectively in both English and Spanish
  • Proofread documents for accuracy and clarity before distribution
  • Support office management tasks such as supply ordering, document preparation, and general administrative support
  • Maintain a professional appearance at the front desk area and uphold excellent phone etiquette
  • Assist with medical or dental receptionist duties as needed, including patient check\-in/out processes
  • Requirements

  • Bilingual fluency in English and Spanish is mandatory
  • Proven experience in office management, clerical work, or administrative support roles
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry software
  • Experience with QuickBooks is preferred but not required
  • Excellent organizational skills with the ability to multitask effectively in a fast\-paced environment
  • Exceptional communication skills both over the phone and in person, demonstrating professional phone etiquette
  • Prior experience working at a front desk or as a personal assistant is advantageous
  • Ability to handle sensitive information discreetly with strong proofreading skills
  • Knowledge of medical or dental receptionist procedures is a plus but not mandatory

Job Type: Contract
