The Role
You are the operating system of the brokerage. You own deal execution end\-to\-end—from listing intake through closing—so agents can spend 100%\+ of their time on calls, meetings, and negotiations.
You will run workflows, control timelines, reconstruct financials, manage risk, enforce compliance, and continuously systemize the brokerage so deals move faster, cleaner, and safer every quarter.
Success is measured by outcomes, not hours.
Core Responsibilities
Deal Intake \& Ownership
- Take immediate ownership of all new listings upon execution
- Serve as the primary point of contact for documentation and process
- Collect all financials once, early, and completely
- Establish timelines, expectations, and deal readiness
- Clean, normalize, and reconstruct incomplete financials
- Identify and document add\-backs and adjustments
- Prepare investor\-ready financial summaries and pricing narratives
- Build or support Offering Memorandums (OMs) and exhibits
- Research counterparties prior to agent engagement
- Prepare concise pre\-meeting briefs (ownership, capital, leverage, red flags)
- Filter unserious or high\-risk buyers early
- Draft, revise, and manage LOIs, offers, counters, and term sheets
- Analyze contracts for risk exposure, missing protections, and weak terms
- Track negotiation iterations and concessions
- Collect, verify, and independently confirm proof of funds
- Call banks or institutions when required
- Flag weak or non\-credible buyers immediately
- Manage contracts, addenda, disclosures, amendments, and signatures
- Maintain clean, accurate files in SkySlope
- Manage escrow timelines and deadlines
- Coordinate with title, escrow, lenders, attorneys, and consultants
- Build and manage buyer data rooms and diligence checklists
- Maintain a live pipeline dashboard with next actions and blockers
- Keep CRM clean so agents receive ready\-to\-call lists
- Proactively move deals forward without agent follow\-up
- Manage listing launches, updates, repositioning, and re\-marketing
- Update MLS, LoopNet, and CREXi
- Track inquiry flow, buyer interest, and conversion metrics
- Implement AI and automation across analysis, contracts, and workflows
- Build templates, trackers, SOPs, and playbooks
- Systemize anything agents should never touch again
- Run deal execution end\-to\-end
- Communicate directly with clients post\-intro
- Enforce deadlines and request documentation
- Flag deal risks and execution issues
- Own CRM hygiene, pipeline accuracy, and reporting
- Financials collected once, early, and completely

This role is a 1099 independent contractor position. No employment, partnership, or fiduciary relationship is created. All systems, workflows, data, and materials are confidential and remain the exclusive property of the brokerage. NDA required. Either party may terminate with fourteen (14\) days’ written notice. Arizona law governs.
