Job title Human Resource Onboarding Specialist Reports to Human Resources Director Department Human Resources FLSA Status Full\-Time, Non\-Exempt Hourly Position Summary The Onboarding Specialist works within our human resource team and is responsible for executing our orientation and onboarding experience to new hires within the organization. Our Onboarding Specialist educates new employees on organizational policies and procedures, skills and standards expected of them to be successful in their role, introduces them to our work environment and culture, and answers any questions new hires may have. This role performs tours and introduces new members of the team to their work units. They are also responsible for processing paperwork associated with new hire processing, tax forms, performing or ensuring necessary training is completed, answering employee questions on policies, procedures, position requirements, or payroll\-related questions along with additional Human Resource administrative related functions. Expected Hours of Work This is a full time, non\-exempt hourly position with a minimum requirement of 40 hours per week. Days and hours of work are Monday through Friday from 8am\-4:30pm with occasional evening and weekend work required during peak periods and as job duties require. Additional hours are required at the start of school in August and January along with any special events held throughout the course of the year. Weekends and evenings are required during peak periods or as needed to support recruitment efforts. This position is fully onsite and does NOT have remote capabilities. Essential Functions Must provide a friendly and welcoming environment and experience for new hires while maintaining professionalism and offering a great first impression of our organization Performs orientations for new hires and training along with tours and site visits to various units Processing of new hire paperwork including tax forms, I9’s, policy and procedure sign offs, training, and other documents required to onboard new hires Data entry into UKG for timekeeping, personnel, and payroll related information Answers Human Resource main phone line and responds to employee questions Communication skills and communicating expectations clearly to new hires and when answering employee questions Communicates through the HR ticket system to respond to both employee and management commonly asked questions or password resets to access UKG Completes employment verifications Tracks hours for probationary employees and temporary employees and is responsible for transitioning employees to a different employment status when hours and probationary requirements are met Administers and distributes new hire materials, training materials, uniforms, welcome packages and more Assists with the hiring and processing of student new hires Filing and organization of HR related files and paperwork Works with student employees to assist with HR related projects and tasks and coaches them to ensure they are properly executing our processes Collaborate with others and teamwork on department projects Basic knowledge of labor laws to assist in answering employees questions, staying up to date on legal changes and internal policies and procedures is required in this role Assists other members of the HR office as required Must be able to work well and collaborate with others, take direction from other members of the HR Team and assist with various projects as needed Other administrative duties may be assigned as needed Other requirements: Self\-starter, capable of working with others to ensure satisfactory results, detail\-oriented, must be able to manage multiple tasks/prioritizes. Education and Training Education: Preferred Bachelor's degree (four\-year college or technical school) or equivalent experience required Computer Skills: Proficient in Microsoft Excel/Spreadsheet experience, word, and general computer knowledge Desired Qualifications Minimum 2\-year professional clerical experience, in HR office preferred Must have exceptional communication skills Positive attitude and ability to effectively motivate and train employees with positive results Excellent time management skills to meet deadlines and provide advanced planning Strong computer skills including spreadsheets, word processing, desktop publishing, e\-mail, Internet research, PowerPoint, spreadsheet preparation and tracking skills, calendaring skills, administrative writing and reporting skills Ability to adapt to a changing employment climate, adaptability and flexibility Preferred experience working with an HRIS/Human Resource Information System Physical and Mental Demands Good visual acuity for reading reports, computer work, etc. Ability to lift, bend, reach, and any other physical demands of the position. Pay Information This position is an hourly non\-exempt role, the anticipated minimum range for hourly compensation for the position is $26 and the maximum is $30\. This role is also eligible for receiving yearly performance based increases that are subject to change or end at any point in time. The advertised pay range represents what we believe at the time of this job posting, that we would be willing to pay for this position. Only in special circumstances, where a candidate has education, training, or experience that far exceeds the requirements for the position, would we consider paying higher than the stated range
