PRACTICE SUMMARY Acorn to Oak Health is a new private practice opened in February 2025, owned by two female physicians and mothers. Our staff is small and close\-knit, and we value kindness, professionalism, and personal accountability in creating a welcoming, high\-quality medical practice. Our concierge, membership\-based model allows for a low daily patient visit volume and meaningful time with patients. We provide personalized, compassionate primary care for patients from birth through aging. ROLE OVERVIEW We are seeking a Pediatric\-focused Medical Assistant with strong clinical skills, playfulness in caring for kids, and an interest in expanded professional responsibility, including front office and back office skills sets. This role will primarily support our Pediatrician, with occasional cross coverage for Adult/Internal Medicine. Because our team is small, this position requires organization, flexibility, excellent communication skills, and a commitment to delivering an exceptional patient experience. A Medical Assistant in this role is familiar with performing health screenings, collecting POCT specimens, phlebotomy, administering medications and immunizations, updating health records, keeping medical supplies stocked, maintaining examination areas, and monitoring, recording, and communicating patients’ conditions. Medical Assistants in this small practice will also perform a variety of administrative duties, such as appointment scheduling, patient registration, referrals and prior authorizations \- This role offers a unique learning opportunity that will expand your skill set. Medical Specialty: Pediatrics \- main responsibility Internal Medicine \- cross coverage as needed Schedule: Monday to Friday 8 hour shifts \- 8:30am\-5:30pm, 1 hour lunch break daily Weekends possible for special events, though very rarely and arranged in advance Experience: EPIC EMR system: 1 year (Preferred) Patient care: 3 year (Required) Vital Signs: 3 years (Required) Phlebotomy: 1 year (Required) ESSENTIAL DUTIES AND RESPONSIBILITIES: Essential duties and responsibilities will include the following, though other duties may be assigned: Compliance: Complies with all HIPAA policies specifically relating to patient confidentiality and release of information; maintains strict confidentiality on all patient information and practice matters; remains current on HIPAA, OSHA, CLIA, Infection Control, patient safety, and other mandatory regulations, standards, and organizational policies and procedures. Examination Room Preparation: Cleans and prepares examination rooms for patients and ensures that they are stocked appropriately with supplies and instruments; adheres to administrative and/or medical supply ordering process in the office. Patient Care: Meets and greets patients in a professional manner; escorts them to the exam room; identifies patients by confirming with them their date of birth and/or social security number; obtains appropriate patient information and medical history and documents in a legible manner for licensed personnel; takes and records patient vital signs (i.e., blood pressure, temperature, pulse, respiration, weight); aids the physician, physician extender, and/or nursing staff during treatment, examination, and/or testing of patients, which may include injections and immunizations; may assist with procedure scheduling and ancillary testing. Laboratory/Vaccines: May perform lab duties including but not limited to, phlebotomy, order entry, and waived procedures; collects laboratory specimens from patients; establishes chain of custody, if applicable, and labels for delivery to appropriate authority for testing. Administer vaccines under the supervision \& training of a licensed physician or nurse. Performing \& running in\-house labs (Rapid Strep, Viral PCR, POC Fingerstick, Urinalysis, etc). Assist with medical procedures and treatments. Equipment Operation: May perform standard EKG, spirometry, and/or other similar office procedures in a manner supporting practice standards, patient safety, and quality patient care. Patient Education: Under the supervision of licensed personnel, distributes educational information and instructions for patient care, diagnostics, and other appropriate treatments to patients and family members/significant others; provides written instruction to patients, as directed, in preparation for diagnostic tests, procedures, and treatments. Records Documentation: Accurately completes and documents patient medical and physical histories and other related documents utilizing electronic medical record applications and/or in writing, in accordance with established procedures. Safety: Follows all practice protocols and/or standing orders that promote a safe and productive work environment; supports practice’s procedures and policies for proper cleaning, routine maintenance, and evaluation of medical equipment to ensure proper equipment functioning and patient safety. Front Office Tasks: Assists with physician’s patient schedule to ensure timely patient flow; assists with check\-in and check\-out procedures; supports referrals, registration, scheduling appointments, tests, and hospital admissions.Plays an active role in daily office coordination to support a concierge\-level patient experience. Telephone \& Inbox Management: Receives incoming telephone calls and inbox messages under physician guidance; responds to patient and family questions regarding medications and treatment instructions; coordinates prescription refills and prior authorizations per physician instructions; promptly escalates urgent clinical concerns. Maintains clear, professional, and empathetic communication consistent with concierge care expectations. Communications: Communicates in a professional manner; demonstrates effective oral and written communication skills with patients, staff, and healthcare providers.Demonstrates emerging leadership skills through collaboration, initiative, and accountability. Professional Development: Assumes responsibility for professional growth through continuing education and participation in required meetings and in\-services. Materials Management: Maintains a supply of medications, medical instruments, and supplies; requests supplies as needed; may order and maintain medical supplies and equipment inventory for assigned area or office and issue supplies and equipment as required. Supervisory Responsibilities This position has no formal supervisory responsibility at hire but may support onboarding, training, and coordination of staff as part of future growth within the practice. QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education and/or Experience Graduation from an accredited Medical Assistant program and three years previous experience as a medical assistant in an outpatient clinic; or completion of a Nursing Assistant program and three years previous experience as a patient care assistant, preferably a primary care setting; or High School diploma or general education (GED) and three years primary care experience. Some applicants may be required to possess a radiological safety certificate. Preference may be given to candidates who possess a Medical Assistant Certification from the Commission on Accreditation of Allied Health Education Programs (CAAHEP); or the Accrediting Bureau of Health Education Schools (ABHES); or a similarly recognized certifying organization. As a condition of employment, candidates must become certified within the first 90 days of employment. Applicants must obtain a basic Cardiac Life Support Certification within the first 3 months of employment and possess average data entry skills. Language Skills Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one\-on\-one and small group situations to customers, clients, and other employees of the organization. Mathematical Skills Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Reasoning Ability Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Computer Application Skills Previous exposure to the electronic medical record system EPIC. Ability to acquire a working knowledge of Centricity, and if applicable WINDOWS 2000 XP Certificates, Licenses, Registrations Candidates must possess Certification from the American Association of Medical Assistants (AAMA) or a similarly recognized certifying organization within 90 days of employment.
