Job Description EXECUTIVE JUDICIAL ASSISTANTJuly 29, 2026 Position Description Non\-Exempt OVERALL OBJECTIVE OF JOB To assist the President Judge with secretarial and administrative duties of department involving complex litigation, policies and procedures. ESSENTIAL FUNCTIONS OF JOB 1\. Performs day\-to\-day operations of the judicial schedule; providing court crier and judge with daily calendar and items needed for hearings/meetings throughout the day; updating the judge with events throughout the day. 2\. Schedules hearings, trials, proceedings, meetings, and functions as needed. 3\. Sets up virtual links for hearings and meetings and provides the links to the necessary individuals. 4\. Notifies necessary individuals regarding any schedule change to the judge’s calendar. 5\. Maintains multiple calendars for the judge. 6\. Prepares court orders, memorandums, forms, reports and letters as necessary; composes routine correspondence; checking accuracy of orders. 7\. Takes dictation from the judge. 8\. Files and conforms executed court orders in the appropriate filing office. 9\. Becomes familiar with files of all cases and other matters assigned to each individual judge and be aware of any action required. 10\. Interacts with attorneys, court staff, law enforcement agencies, filing offices and other agencies regarding procedural/scheduling questions. 11\. Prepares and requests files for hearings by assembling legal records and other needed information, including previous appeals, rulings and other pertinent documents. 12\. Answers telephone and responds to routine inquiries; directs legal questions to proper individual. 13\. Responds to, composes and forwards emails. 14\. Greets and directs individuals entering Judge's chambers. 15\. Operates computer, typewriter, copier and other office equipment daily. 16\. Programs documents and data into computer to maintain records and needed information. 17\. Updates publications and periodicals for the judge’s library. 18\. Makes travel arrangements for judge’s conferences. 19\. Collects, opens and scans daily mail. ESSENTIAL FUNCTIONS OF JOB FOR PRESIDENT JUDGE 1\. Schedules meetings and teleconferences with County Leadership/Department Heads/AOPC Leadership/other President Judges. 2\. Prepares Administrative Orders for judicial governance for the district and to comply with statewide judicial administration and Administrative Orders to implement local rules related to court, county and state policies. 3\. Prepares letters and memorandums regarding court policies. 4\. Collects 703 Reports for all judges. 5\. Receives Adult Probation/Parole orders that are essential to the orderly operations of the criminal justice system and insures that they are executed, copies provided to the officers and filed. 6\. Schedules swearing\-in ceremonies. 7\. Prepares and files Emergency Judicial Orders. 8\. Communicates with other Common Pleas Judges and Magisterial District Judges. 9\. Coordinates highly confidential meetings of President Judge and Court Administration regarding HR issues, hiring/firing/discipline. 10\. Aides President Judge to assemble materials for responses to judicial and attorney discipline orders. 11\. Gathers and coordinates information from Judicial Administrative Assistants to help with orderly administration of all judge’s work. 12\. Proactively organizes training sessions and coordinates urgent meetings. 13\. Provides assistance to other judges upon request. 14\. Conducts conflict checks with counsel when appointing attorneys in confidential Orphans’ Court matters. 15\. Reviews the statewide e\-filing platform (Guardian Tracking System \[GTS]) that allows court\-appointed guardians of incapacitated adults to submit mandated inventory and annual reports and the Orphans' Court docket entries in order to prepare orders for review hearings with counsel. OTHER DUTIES OF JOB 1\. Attends meetings or training sessions as necessary. 2\. Assists other clerical staff as needed. 3\. Assists in training new law clerks 4\. Requisitions office supplies as necessary. 5\. Performs other job related duties as required. SUPERVISION RECEIVED Receives occasional instruction and very little supervision from Judge in regard to daily work duties. SUPERVISION GIVEN None WORKING CONDITIONS 1\. Works indoors in adequate work space, lighting and temperatures, but with fluctuations in ventilation. 2\. Normal indoor exposure to noise, but subject to frequent disruptions and stress. 3\. Normal indoor exposure to dust/dirt. 4\. Works occasionally with volatile or potentially upset or aggressive individuals. PHYSICAL AND MENTAL CONDITIONS 1\. Must possess ability to record, convey and present information, explain procedures and follow instructions. 2\. Must be able to sit for long periods throughout the workday, with intermittent periods of standing, walking, bending, twisting and reaching necessary to carry out duties of job. 3\. Dexterity requirements range from simple to coordinated movements of fingers/hands; feet/legs; torso necessary to carry out duties of job. 4\. Sedentary work, with occasional lifting/carrying objects with a maximum weight of thirty pounds. 5\. Must demonstrate emotional stability. 6\. Must be able to cope with the physical and mental stress of the position. 7\. Must able to move frequently throughout the workday. 8\. Must be able to pay close attention to details and concentrate on work. QUALIFICATIONS A. EDUCATION/TRAINING High school diploma or equivalent, plus business/legal secretarial training required, including excellent computer, organizational and communication skills. Or, any equivalent combination of experience/training required. KNOWLEDGE, SKILLS AND ABILITIES REQUIRED 1\. Must be able to speak and understand the English language in an understandable manner in order to carry out essential job duties. 2\. Must possess effective communication and interpersonal skills. 3\. Must possess ability to function independently, have flexibility and the ability to work effectively with clients, co\-workers and others. 4\. Must possess initiative and exercise discretion in handling of administrative matters. 5\. Must possess ability to maintain confidentiality in regard to client information and records. 6\. Must possess the technical knowledge of operating personal computers, several miscellaneous computer software programs and other office equipment. 7\. Must possess the ability to make independent decisions when circumstances warrant such action. 8\. Must possess ability to use tact, discretion and patience in dealing with general public and others. 9\. Must possess knowledge of office practices and procedures, and some knowledge of practices and operations of civil and criminal court systems. 10\. Must possess knowledge of legal terminology. 11\. Must possess some knowledge in preparation and assembling of briefs and legal documents. 12\. Must possess ability to compose letters and reply to routine correspondence using excellent grammar and spelling. 13\. Must possess ability to establish and maintain files, records and prepare reports and legal documents. 14\. Must possess a valid driver’s license. 15\. Must possess the ability to quickly grasp and adapt to a wide range of technologies. 16\. Must be able to take initiative in organizing technology‑related training.
