As our brands, media presence, and Midwest portfolio continue to grow, we are looking for an organized and highly dependable Executive Personal Assistant to help manage the day\-to\-day responsibilities behind the businesses and support the founder directly. Role Description This is a hybrid, initially part\-time contract position with the opportunity to transition into a full\-time role. The position will be partially remote, with regular in\-person work at our new Fun Factory HQ in Lake Zurich, Illinois. The Executive Personal Assistant will work directly with founder Kyle Miklasz to organize communications, schedules, paperwork, payments, follow\-ups, and personal and professional priorities across multiple fast\-moving companies. The ideal candidate is responsive, trustworthy, extremely organized, comfortable communicating with many different types of people, and able to identify what needs attention before it becomes urgent. Social media, video editing, and content creation experience are strongly preferred but not required. The person in this role will work around a growing media operation and may assist with capturing, organizing, editing, and publishing content from Fun Factory HQ and our hospitality brands. Key Responsibilities Manage, organize, and prioritize the founder’s business email inboxes. Draft and send professional responses to business emails, text messages, and other correspondence on the founder’s behalf. Monitor guest\-service email accounts and ensure guest questions, requests, and concerns are answered promptly or routed to the appropriate team member. Monitor and respond to social media DMs, comments, general business inquiries, collaboration requests, and inbound leads across Instagram, Facebook, TikTok, LinkedIn, YouTube, and other platforms. Review incoming phone calls and voicemails, respond when appropriate, and organize necessary follow\-ups. Manage the founder’s calendar, schedule meetings and appointments, prevent conflicts, and provide reminders and daily priorities. Coordinate calls, meetings, travel arrangements, reservations, and other personal or professional scheduling needs. Receive, sort, scan, organize, and route physical mail delivered to Fun Factory HQ or other designated locations. Organize invoices, bills, receipts, renewals, subscriptions, deposits, reimbursements, and other payment\-related paperwork. Process approved payments and maintain clear supporting records using established authorization procedures. Organize contracts, legal documents, insurance correspondence, lender requests, permits, applications, and other company records for review by the appropriate professionals. Maintain digital and physical filing systems across Burning Blueprints, Big Sky Barnhouse, Wild Wild Warehouse, and affiliated companies. Track open tasks, deadlines, unanswered messages, missing documents, and follow\-ups to ensure nothing falls through the cracks. Communicate professionally with guests, employees, investors, lenders, attorneys, accountants, contractors, vendors, partners, and media contacts. Assist with general personal\-assistant responsibilities, including appointments, errands, reservations, deliveries, purchases, research, and other day\-to\-day needs. Help maintain organization within the Fun Factory HQ office, design lab, content studio, and storage operation. Assist with content capture, organization, editing, caption writing, publishing, and social media management when qualified. Support special projects, property launches, content shoots, company events, and other priorities as needed. Qualifications Previous experience as an executive assistant, personal assistant, administrative assistant, office manager, operations coordinator, or similar support role is preferred. Exceptional organization, attention to detail, and follow\-through. Strong written and verbal communication skills, including the ability to draft clear, natural, and professional messages. High level of discretion and sound judgment when handling confidential business, financial, legal, guest, and personal information. Ability to manage multiple businesses, inboxes, conversations, and deadlines in a fast\-moving entrepreneurial environment. Proactive and resourceful, with the ability to solve problems independently and escalate important matters appropriately. Comfortable communicating with guests and representing the businesses professionally across email, phone, text, and social media. Proficiency with email, calendars, spreadsheets, cloud storage, online collaboration tools, and general office technology. Comfortable learning new software, hospitality platforms, and AI\-powered productivity tools. Able to work independently while remaining highly responsive and accountable. Located within reasonable commuting distance of Lake Zurich, Illinois, with reliable transportation for scheduled in\-person work. Social media management, short\-form video editing, photography, or content creation experience is strongly preferred. Experience in hospitality, short\-term rentals, real estate, construction, design, media, or a founder\-led company is a plus. Schedule and Work Arrangement Hybrid position combining remote work with scheduled in\-person work at Fun Factory HQ in Lake Zurich, Illinois. Initially structured as a part\-time contract role with the opportunity to transition into a full\-time position based on performance, fit, and company needs. Some schedule flexibility may be required for time\-sensitive business, guest, or media matters. What Success Looks Like The founder has a clear schedule and priority list, important communications receive timely responses, guests and business contacts are directed to the right people, payments and paperwork stay organized, and open items are consistently followed through to completion.
