Administrative \& Executive Assistant Five Star Disability Services LV LLC Las Vegas, NV Part\-Time Position Overview Five Star Disability Services LV LLC is seeking a highly organized, dependable, and detail\-oriented Administrative \& Executive Assistant (HR Support) to support our growing organization. This position will serve two important functions: providing administrative and HR support for Five Star Disability Services LV and providing executive assistance to the Executive Director. The ideal candidate is someone who enjoys creating order, following up on outstanding items, maintaining accurate records, and making sure important administrative responsibilities do not fall through the cracks. This person must be comfortable working independently, handling confidential information, communicating with employees and outside professionals, and managing multiple priorities. Experience in healthcare, disability services, human services, HR, or another regulated environment is strongly preferred. Key Responsibilities Responsibilities will include: Maintain organized employee personnel and HR files Track required employee documentation and follow up on missing or expired items Assist with employee onboarding and new\-hire paperwork Maintain training, credentialing, background check, and other compliance records Review files for completeness and identify missing documentation Organize electronic and physical office records Assist with filing, scanning, uploading, and maintaining company documents Help prepare documentation for audits, reviews, and compliance activities Maintain administrative spreadsheets, trackers, calendars, and deadlines Assist management with correspondence, reports, forms, and other administrative documents Communicate professionally with employees regarding outstanding documentation and administrative requirements Assist with scheduling meetings, interviews, appointments, and follow\-ups Monitor important administrative deadlines and provide reminders Help the Executive Director organize priorities, correspondence, meetings, and follow\-up items Assist with special projects and other executive\-level administrative responsibilities Maintain strict confidentiality regarding employee, participant, company, and executive information Perform other administrative duties as assigned What We Are Looking For We are looking for someone who is: Exceptionally organized and detail\-oriented Reliable and consistent with follow\-through Comfortable holding others accountable for deadlines and required paperwork Able to work independently without needing constant supervision Professional in written and verbal communication Comfortable learning new software and administrative systems Able to prioritize competing responsibilities Proactive rather than waiting to be told about every next step Discreet and trustworthy with confidential information Able to identify problems and bring potential solutions to management Qualifications Previous administrative assistant, executive assistant, office management, HR assistant, or similar experience preferred Experience maintaining personnel or employee files preferred Experience in healthcare, disability services, behavioral health, social services, or another regulated industry is a plus Strong Microsoft Office skills, including Outlook, Word, Excel, and OneDrive/SharePoint Strong organizational and document\-management skills Strong written and verbal communication skills Ability to maintain confidential information High school diploma or equivalent required; associate or bachelor's degree preferred The Right Person for This Position This role is especially suited for someone who naturally notices what is missing and takes action. We need someone who can look at an employee file and recognize that a document is missing, see that a deadline is approaching and follow up before it becomes a problem, or recognize that an administrative process could be better organized and help improve it. The goal of this position is not simply to complete assigned tasks. The goal is to help management maintain an organized, compliant, and efficiently operated organization. Schedule Monday through Friday Primarily during normal business hours. Some flexibility may be available depending on operational needs. Compensation Competitive compensation based on experience and qualifications. Pay: $18\.00 \- $23\.00 per hour Benefits: Flexible schedule Language: * Spanish (Preferred) Work Location: Hybrid remote in Las Vegas, NV 89104
