JOB DESCRIPTION Summary The Human Resources (HR) Assistant is a hands\-on, collaborative role that supports day\-to\-day HR department operations, including recruitment, onboarding, employee support, Human Resources Information Systems (HRIS) and personnel records management, compliance tracking, reporting, benefits administration, and employee engagement. The position serves as a trusted resource for employees and hiring teams while supporting the organization’s communications, events, and administrative functions. Success in this role requires strong organizational skills, attention to detail, professionalism, discretion, responsiveness, and the ability to manage multiple priorities. The HR Assistant works closely with the HR Manager and organizational leaders to promote a positive workplace culture, support organizational objectives, and provide a positive employee and candidate experience. The HR Assistant may also provide coverage for the HR Manager and assume additional responsibilities as needed. Job Responsibilities/Essential Functions Assist with recruitment activities including posting positions, screening applications, scheduling interviews, and communicating with candidates. Prepare offer letters, hiring packets, and onboarding materials. Prepare and coordinate new caregiver orientation and onboarding processes. Maintain electronic and paper personnel files in accordance with company policies and regulatory requirements. Enter and maintain employee data within HRIS. Assist with employment verifications, personnel transactions, and status changes. Track and maintain mandatory training, certifications, licenses, and compliance requirements. Support benefit enrollment and annual open enrollment activities. Assist with caregiver recognition, employee engagement programs, and company events. Respond to routine caregiver inquiries regarding policies, procedures, benefits, and employment documentation. Support leave administration by maintaining records and required documentation. Generate reports and maintain HR records for audits and compliance reviews. Assist with OSHA, workers' compensation, and safety documentation as assigned. Help coordinate training programs and maintain training records. Perform filing, scanning, data entry, and general administrative duties. Onboarding \& Offboarding: Assist with onboarding and offboarding from start to finish, including I\-9 verification, new hire setup, required documentation, policy acknowledgements, system updates, and termination workflows when the HR Manager is out of office. Regulatory; knowledge of state and federal healthcare regulations pertaining to home health care, specifically pediatric group homes, and adult family homes. Ability to work collaboratively with parents/guardians, caregivers, and multi\-disciplinary team. Emotional Stability; patience and calm demeanor. Ability to manage emotions and demonstrate leadership at all times, during emergencies and other stressful situations. Resilient. Confidentiality; adherence to organization’s policies, procedures, infection prevention, safety, confidentiality policies and procedures; HIPAA and all state and federal medical privacy laws. Cultural Competency; ability to demonstrate sensitivity and respect to community members from multiple cultures, and to individuals who experience disabilities. Required Qualifications High School Diploma or GED required. Associate degree in Human Resources, Business Administration, or related field. One (1\) year of administrative or customer service experience. Current Healthcare Provider BLS/CPR Food Handler’s Card Must pass a State and Federal Background Check, including fingerprints Valid State Driver’s License Proof of licensing required vaccinations Behavior Management Training within 60 days of hire Abuse Prevention Systems Sexual Abuse Awareness Training within 90 days of hire Proficient in MS 365 Work Environment This position is inclusive of all resident care programs of Pope’s Place. The position requires flexibility as hours of work are subject to operational needs. The environment may include exposure to communicable diseases, bodily fluids, and other potential hazards. Must wear Personal Protective Equipment (PPE) as required and follow strict guidelines to protect self and residents from infectious disease. Travel Out of town travel is not required for this position. Pay: $22\.68 \- $31\.64 per hour Expected hours: 20\.0 per week Benefits: Employee assistance program Paid time off * Tuition reimbursement Work Location: In person
