Job Overview We are seeking a highly organized and proactive Executive Assistant to support our Board of Directors. The Assistant to the Board of Directors provides high\-level support to the Officers and Directors by managing schedules, coordinating communications and overseeing daily administrative operations. Individual will be responsible for overseeing daily operations at the direction of the Board of Directors. Individual will coordinate office activities, serve as a key point of contact, and maintain effective communication between internal Directors, committees, and members, as well as with external partners such as public, government, legislators, etc. Individual will ensure timely completion of office responsibilities. \-\- support strategic goals and maintain high standards of organization and communication. This role requires strong organizational skills, leadership capabilities and the ability to multitask in a dynamic environment. Key Responsibilities (reports to the President) Provides administrative support for board meetings, committees, and work groups as needed. Provides support for planning LWVBaCo annual meeting, legislative briefings, and other events as needed. Assists in maintaining timely communication and working relationships with LWVMD, LWVUS, other relevant organizations, government, as well as individuals to support LWVBaCo advocacy efforts. Maintain physical office space, interact with members and other visitors, answer and route calls and emails, handle mail; organize and order office supplies as needed, and ensure that office equipment is in working order. Supervise volunteers in the office. Maintain LWVBaCo’s meeting schedule, including meeting scheduling on Zoom, office space reservations, and event registrations. Support communications to members and the public, including system and bulk emails, including periodic bulk mailings by regular mail. Maintain and ensure accuracy of member and non\-member databases. Assist new, renewed, and renewing members with account issues and password resets as needed. Maintain paper and electronic filing systems, including organization records. Maintain documentation related to minutes, updates, records, including Google Drive storage. Assist Treasurer to oversee office budgets, expense reporting and basic bookkeeping tasks, including support in budget tracking, recording donations, and expense reporting processes under the guidance of the LWVBaCo Treasurer. Provide reporting, administrative, and logistical support for LWVBaCo monthly Board meetings, annual Board retreats, annual LWVBaCo all\-member meetings, and LWVBaCo sponsored events. Complete other duties as assigned. Qualifications Understanding of LWV national, state, and local LWV mission, principles, and positions Demonstrated management experience in nonprofit and/or advocacy organizations, with strong organizational skills. Knowledge of the operation of the local and state government, including legislative process, and the legislative landscape. Ability to work independently as well as in a collaborative team. Sound judgment and discretion, particularly in communications and advocacy. Experience building relationships and networks with diverse groups. Financial management experience, including knowledge of budgeting practices and formats. Excellent writing and effective communication skills Computer literacy and familiarity with Microsoft Office programs, the Internet, Google Drive storage, and social media. Excellent time\-management skills with ability to prioritize tasks and work on multiple projects simultaneously within specified deadlines. Willingness to work evenings and weekends as needed. Education and Experience An associate degree is preferred. Or, a minimum of three years related experience.
