GENERAL SUMMARY The District Clerk’s office is high\-functioning and delivers an efficient output to several local, state and federal entities. The office completes a vast array of duties that helps expedite court proceedings. The Lead Clerk position is a demanding but rewarding career that has an important place in the inter\-workings of the Judicial System. This position is a regular full\-time assignment and works in conjunction with other operational and support personnel to perform a wide variety of courtroom, jury, and administrative support duties. ESSENTIAL DUTIES \& RESPONSIBILITIES The intent of this job description is to provide a representative summary of the major duties and responsibilities performed by incumbents of this job. Employees may be requested to perform job\-related tasks other than those specifically presented in this description. · Under general supervision, performs skilled and advanced clerical tasks in a major administrative area. · Provides advanced clerical support, which includes filing and amending cases, updating the case/jury management systems via in\-person, phone, fax or other electronic means. · Processes litigation proceedings including, but not limited to, criminal, divorce, family or other civil filings like adoptions, condemnation, foreclosure, delinquent taxes, Attorney General/child support, and accepts motions and subpoenas. · Performs cashier duties and balances money at end of shift. Balance disbursements, may prepare daily deposits, and monitor overpayments. Corrects recording and financial errors. · Processes expungement cases and appeals. · Serves as liaison to Judges, Court Coordinators, District Attorney, Jail, Pretrial Services and other County and law enforcement agencies. · Analyzes and updates court policies and procedures, seeking management input as needed. Identifies and implements best practices in area of responsibility. · Prepares and processes alias capias warrants, Johnson County warrants and commitments, sealed cases, search warrants, and responds to bankruptcy letters. · Maintains organization and flow of Court records. · Coordinates work schedules, training staff, answers questions from staff and the general public about court operations. · Maintains the jury management system and juror information from County residents. · Follows all statutory or court ordered directives as well as office policy and protocol. · Performs other duties as assigned or required within the scope of the department. MINIMUM QUALIFICATIONS · High School diploma or equivalent plus 3 years of related experience · Bachelor or Associate degree with 1 year of related experience, preferred · Experience in the legal field or justice system, preferably to include data entry, court management/criminal justice/jury computer software programs · Comprehensive knowledge of the court system and legal documents · Must be able to perform duties under high stress, at times dealing with difficult individuals. · Must have good organizational skills and work well without close supervision. · Any combination of education and experience sufficient to successfully perform the essential functions listed above can be substituted. KNOWLEDGE, SKILLS, and ABILITIES · Knowledge of the organization and operations of the district courts · Broad general knowledge of Texas criminal, civil, mental and family laws, court systems and governmental agency functions · Skill in operating computers and other common office machines · Ability to perform accurate, detailed work with permanent records, maintaining neat, well\-organized records while dealing with numerous interruptions · Basic mathematic ability · Ability to work quickly and accurately under high stress · Ability to communicate effectively both orally and in writing with the ability to articulate important information and positively influence other people such as court staff, co\-workers, or other internal and external groups. · Ability to assess, refer, advise and communicate assertively with a variety of individuals, such as criminal defendants, legal professionals, law enforcement agents, governmental officials and the general public · Ability to establish and maintain effective working relationships with judges, county officials, attorneys, and employees · Ability to exercise discretion in handling sensitive legal and confidential business matters · Ability to work with little or no supervision · Ability to report to work timely and as scheduled WORKING CONDITIONS The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. This position works primarily inside the county offices in a normal office environment and has frequent contact with the public. The noise level in this office varies but is usually moderately quiet with occasional distractions. Standard ventilation and lighting conditions. This position is infrequently exposed to elements outside of the office related to ambient weather conditions present on any given day when accessing some of the remote storage facilities.
