The Program Aide serves as the primary front\-line support for the Tutoring and Learning Center by welcoming students, assisting with appointment scheduling, and providing routine information regarding tutoring, coaching, and academic support services. The position supports efficient daily operations by performing established administrative processes, maintaining a professional and welcoming environment, and ensuring students receive timely access to services. Through consistent customer service and administrative support, the Program Aide helps reduce barriers to student engagement while allowing professional staff to focus on specialized student support and departmental operations. Principal Accountabilities Front\-Line Student Support Welcome students, faculty, and visitors while providing exceptional customer service and serving as the primary point of contact for the department Assist students with scheduling, modifying, and canceling tutoring and coaching appointments using established procedures and department technology Respond to routine questions regarding services, policies, and procedures, referring complex issues to the appropriate staff member Administrative \& Office Support Answer phones, respond to routine email inquiries, and accurately maintain departmental records and documentation Perform routine administrative support including data entry, copying, scanning, filing, and preparation of department materials Monitor office and program supplies, maintain student\-facing resources, and report inventory or equipment needs Student Experience \& Service Delivery Maintain an organized, welcoming, and professional reception area and student spaces Support both in\-person and virtual service delivery by ensuring students receive timely assistance and access to available resources Assist with preparation and logistical support for workshops, outreach activities, meetings, and special events Department Procedure \& Compliance Follow established scheduling, customer service, and front desk procedures to ensure consistent service delivery Maintain the confidentiality of student records and information in accordance with FERPA and college policies Identify scheduling concerns, technology issues, or service barriers and communicate them promptly to the Administrative Assistant or department leadership for resolution Other duties as assigned Requirements Minimum of a high school diploma or equivalent required; associate’s degree in related field preferred Minimum of one (1\) year of related office or clerical work experience required; experience working in a higher education or student service environment preferred Excellent customer service and interpersonal communication skills required Strong organizational skills with the ability to manage multiple priorities in a fast\-paced environment required Ability to maintain confidentiality and exercise discretion when handling student information required Strong attention to detail and accuracy required Ability to learn and consistently apply established procedures and policies preferred Ability to work independently while recognizing when to seek assistance preferred Proficiency with Microsoft Office applications and the ability to learn department\-specific software, including EAB Navigate360 required
