Real Estate Operations \& Administrative Coordinator Job Summary We are seeking a highly organized, dependable, proactive, and professional Real Estate Operations \& Administrative Coordinator to support the owner of a growing real estate, property\-management, short\-term\-rental, and virtual\-assistant business. The company manages approximately 30 rental units, primarily in Baltimore City and Baltimore County, including long\-term rentals and properties listed through Airbnb, Vrbo, and Booking.com. This is a hybrid office and field position. The successful candidate will coordinate daily administrative work, property operations, cleaners, contractors, tenants, guests, court matters, and remote virtual assistants. Primary Responsibilities Manage emails, calendars, appointments, meetings, records, reports, invoices, receipts, and follow\-up communications. Coordinate Airbnb, Vrbo, and Booking.com reservations, cleaners, turnovers, supplies, maintenance, and property readiness. Support long\-term rental operations, including tenant communication, leasing, rent\-payment tracking, maintenance requests, inspections, move\-ins, and move\-outs. Prepare and submit management\-approved landlord\-tenant and eviction filings. Track eviction cases, filing deadlines, court dates, judgments, and required follow\-up actions. Attend landlord\-tenant court proceedings as needed to support the owner or attorney and provide authorized documents, records, or testimony. Schedule and follow up with cleaners, contractors, plumbers, electricians, HVAC technicians, inspectors, and other vendors. Visit properties to inspect cleaning, maintenance, vacancies, damage, supplies, and completed work. Assist with rental listings, applicant prescreening, showings, applications, keys, lockboxes, and property access. Review and organize vendor estimates, invoices, receipts, photographs, and completion reports. Monitor ClickUp tasks and ensure assignments are followed through to completion. Coordinate with remote virtual assistants, review daily reports, and organize matters requiring management approval. Assist with Omega Remote Talent administrative operations, client onboarding, employee records, scheduling, and business\-development follow\-up. Prepare clear daily and weekly operational reports. Maintain professionalism, discretion, and confidentiality at all times. Qualifications Minimum of two years of experience in administration, property management, real estate, hospitality, legal administration, executive support, or business operations preferred. Experience with landlord\-tenant filings, rent court, eviction\-case tracking, or legal document preparation is strongly preferred. Excellent organization, time\-management, communication, follow\-up, and problem\-solving skills. Strong written and spoken English. Ability to manage multiple deadlines and changing priorities. Comfortable working independently in a fast\-paced small\-business environment. Proficiency in Microsoft Office and Google Workspace. Experience with or willingness to learn ClickUp, Buildium, Airbnb, Vrbo, Booking.com, QuickBooks, Canva, and AI productivity tools. Valid driver’s license, reliable transportation, and current automobile insurance required. Willingness to travel throughout Baltimore City and Baltimore County and occasionally to Alexandria, Virginia. Occasional evening or weekend availability may be required for urgent property matters.
