Job Responsibilities ------------------------ Careers at DPH: Work that makes a difference! Embracing Service, Inspiring Innovation, Promoting Teamwork, Pursuing Excellence, and Advancing Equity Under general supervision, function as the Regional Coordinator for vital records in the Division of Vital Records; is responsible for evaluating and modifying regional policies and procedures with the goal to improve the efficiency and quality of requesting certified copies of vital events and other office functions. Monitor performance and supervise all Vital Records supervisors and staff within assigned region including the approval of working time, leave, set up and carry out employee performance evaluations, office service times and wait times, carry out disciplinary action according to agency policy, review entitlement documents, hold regular staff meetings, and train new and current employees. Assists and advises staff in the completion of requests including but not limited to: the acceptability of documents used for correcting records and clarifying discrepancies, review amendments prior to sending them to Columbia to ensure completeness and accuracy, unsealing of records, and ensuring files follow retention schedules as outlined by policy. Gather and maintain data on spreadsheets and from other Vital Records applications and other sources to develop and improve office efficiency and performance measures. Attends monthly coordination meetings with Central Office and relays information back to staff in a timely and accurate fashion. According to the needs of the region, assist customers in the completion of applications for certified copies of vital events according to established policies and procedures. Other duties as assigned. Minimum and Additional Requirements --------------------------------------- State Minimum Requirements: A bachelor's degree and relevant program experience. Agency Minimum Requirements: Five (5\) years responsible clerical experience in an office setting including two (2\) years of cashiering, banking or accounting experience. Three (3\) years’ experience handling confidential records and three (3\) years of supervisory experience. Ability to type at a corrected rate of 45 wpm. Preferred Qualifications ---------------------------- Prefer bachelor's or associate degree, three (3\) years vital records experience, five (5\) years of supervisory experience. Bilingual in Spanish.
