Job Overview We are seeking a dynamic and organized Office Administrator/Receptionist to join our team! You will serve as the first point of contact for visitors and callers, manage administrative tasks efficiently, and support various office functions to create a welcoming and productive environment. Duties Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression Manage multi\-line phone systems, screen calls, and direct inquiries appropriately with professional phone etiquette Handle front desk responsibilities including scheduling appointments, maintaining visitor logs, and managing incoming correspondence Perform data entry, filing, and document proofreading to maintain accurate records and organized files Utilize office software such as Microsoft Office Suite and Google Workspace for document creation, editing, and communication Assist with calendar management, scheduling meetings, and coordinating appointments for staff members Support bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking Maintain office supplies inventory, order necessary materials, and ensure the workspace remains tidy and functional Provide clerical support such as photocopying, scanning, and preparing reports or presentations as needed Requirements Proven experience in office management or administrative roles with strong organizational skills Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace tools Prior experience working at a front desk or reception area with effective phone etiquette skills Ability to handle multi\-line phone systems confidently and professionally Bilingual abilities are highly desirable to assist diverse clients and team members effectively Strong clerical skills including data entry, filing, proofreading, and document management Knowledge of QuickBooks or bookkeeping experience is a plus Exceptional time management skills with the ability to prioritize tasks efficiently Previous experience in customer service or customer support roles preferred * Personal assistant or medical/dental receptionist experience is advantageous but not required Join us in creating a vibrant office environment where professionalism meets friendliness!
