Position Overview
The Front Desk Receptionist serves as the first point of contact for all patients visiting Neuro\-Vision \& Rehabilitation Center of Northern California so our team holds this position VERY VALUABLE. This role is responsible for managing the day\-to\-day flow of a high\-volume specialty practice, ensuring every patient is greeted professionally, checked in efficiently, and checked out smoothly. The ideal candidate is calm under pressure, highly organized, and comfortable working in a busy clinical environment where multiple patients and providers may be active simultaneously, and feels comfortable with financial conversations with people.
Key Responsibilities
Patient Check\-In \& Check\-Out
- Greet all arriving patients warmly and promptly
- Verify and update patient demographics and contact information in the EHR
- Confirm appointment type and notify clinical staff of patient arrival
- Collect payments at check\-out and issue receipts.
- Schedule follow\-up appointments before the patient leaves
- Manage patient flow during peak Vision Therapy arrival windows (up to 24 patients per session block)
- Answer all incoming calls promptly and professionally
- Schedule new and returning patient appointments in the EHR
- Return missed calls and voicemails within the same business day
- Handle appointment cancellations and fill open slots from a waitlist
- Triage calls appropriately — routing clinical questions to the provider and program/policy questions to the Patient Care Coordinator
- Confirm upcoming appointments via phone or through Weave (coordinating with the Virtual Assistant on messaging)
- Prepare daily schedules and ensure charts are ready for the following day
- Scan, file, and organize documents in the EHR
- Maintain front desk supplies and notify management when restocking is needed
- Keep the waiting room tidy, welcoming, and organized throughout the day
- Answer general questions about location, parking, hours, and what to bring to appointments
- Collect and relay messages to our Patient care coordinator or the provider accurately

Pay: $24\.00 \- $27\.00 per hour
