Position Overview
Point of Freedom LLC is seeking a compassionate, organized, and professional Receptionist / Intake Coordinator to serve as the first point of contact for clients seeking recovery services. This role is critical in creating a welcoming and supportive environment while helping clients navigate the intake and admissions process with dignity, urgency, and care.
The ideal candidate is highly organized, emotionally intelligent, entrepreneurial\-minded, and passionate about helping individuals and families impacted by addiction. This position requires strong communication skills, professionalism, confidentiality, and the ability to multitask in a fast\-paced outpatient treatment environment.
Key Responsibilities
Front Desk \& Client Experience
- Answer incoming calls and respond to inquiries professionally and compassionately
- Greet clients, referral sources, and visitors in a warm and welcoming manner
- Maintain a clean, organized, and professional reception area
- Schedule appointments, assessments, and intake appointments
- Confirm appointments and assist with reminder calls/texts
- Handle incoming and outgoing mail, faxes, and office correspondence
- Maintain confidentiality and HIPAA compliance at all times
- Conduct initial phone screenings and gather client demographic information
- Assist prospective clients in understanding available services including:
- Intensive Outpatient (IOP)
- Outpatient treatment
- Virtual outpatient services
- Drug \& alcohol assessments
- Verify insurance information and collect required intake documentation
- Coordinate intake paperwork and electronic records
- Communicate with referral sources including hospitals, probation officers, attorneys, therapists, detox facilities, and social workers
- Ensure timely intake processing and follow\-up with prospective clients
- Assist leadership with maintaining admissions tracking and census reports
- Maintain accurate client files and data entry within the EHR system
- Assist with office supply inventory and ordering
- Support leadership team with administrative tasks and special projects
- Help coordinate community outreach events and referral relationships
- Monitor office calendars and assist with scheduling coordination
- Maintain professionalism in all client and team interactions
- High school diploma or GED required
- Previous experience in outpatient healthcare, behavioral health, addiction treatment, medical office, or customer service preferred
- Strong communication and interpersonal skills
- Comfortable working with individuals in recovery and mental health populations
- Strong computer and organizational skills
- Ability to multitask and remain calm under pressure
- Experience with insurance verification, scheduling software, or EHR systems is preferred
- Must maintain strict confidentiality and professional boundaries
